Medical Office Assistant, part-time
Solo MD specialty practice in Newton seeks part-time (approx. 25 hrs./wk.) office assistant to help with medical data entry, patient communications, and keeping the day on time and office running smoothly.
Our Medical Office Assistant is very important to us. We’re only two people – the doctor and the practice manager -- making our Office Assistant a critical member of our little team.
As our perfect candidate, our doctor will rely on you to have all patient information – and the patients themselves – ready for their consultations, and to keep her on time. She’ll rely on your accuracy in entering lab data into medical records and creating lab orders for patients’ future use. She’ll rely on your ability to relay important context around patient messages so she can respond to them efficiently.
Our practice manager will also rely on you -- to help make patients feel supported, to answer their questions and route their requests, to send them information that they need, and to ensure payments are correct and processed properly.
RESPONSIBILITIES
- Check for missing information in advance of patient appointments and resolve.
- Greet patients, make sure they’re ready for the doctor, collect and record payments.
- Track appointment times and notify doctor when it’s time to wrap up.
- Create lab orders from doctor’s instructions and send to patients.
- Light scheduling.
- Maintain accurate electronic medical records, especially lab result data entry.
- Answer and route incoming calls and patient messages; resolve where possible.
- Assist with medication authorizations and medical record requests.
- Communicate with laboratories, pharmacies and insurance plans to support patients
REQUISITE EXPERIENCE
We manage most clinical information and communications through an electronic medical records (EMR) system. It’s almost essential that the right candidate have experience working inside of an EMR system. We would also consider someone with very strong computer skills and experience working with healthcare information.
Strong knowledge of medical information such as lab orders and results, prescriptions, and experience interacting with laboratories, pharmacies, and insurance companies would also make a big difference.

DAYS AND HOURS
Ideally, our Office Assistant will be present Mondays through Thursdays, arriving prior to the day’s first patient, who is typically scheduled for 8:45am. Departure time can vary based on your needs and the day’s work, generally mid-afternoon. There is a 30-minute lunch break in between. Most days would be 6-7 total work hours.
We have a bit of flexibility around the days and hours; for the right candidate, we would be happy to discuss some adjustments to best balance your needs and ours.
Our office is closed all major holidays and some mid-tier ones. There are also 20-25 days a year when the doctor is away either for business or vacation.
COMPENSATION
We pay an above-average hourly rate, even for Greater Boston. But it’s paid only on actual hours worked -- there aren’t any paid days off. If you prefer, we are open to discussing a salary arrangement after the first year.
For hourly, pay would start at around $27/hour, based on experience, and would increase over time as you become more efficient and take on more responsibility. If you stay with us for the long-term, we would also expect to make contributions to a retirement fund for you.
