Pay range: $20.00 – $23.00 per hour (approximately $41,600 – $47,840 per year), commensurate with experience
About the Role
We are seeking an energetic and highly organized Front Desk Coordinator to be the welcoming face of Divine Dermatology & Aesthetics (DDA). This is a vital role that combines exceptional customer service with the coordination of patient scheduling across DDA and Luxe Derm Spa. The ideal candidate is proactive, detail-oriented, and communicates with warmth and professionalism. Key Responsibilities
Front Desk & Patient Experience
- Greet patients, visitors, and staff with professionalism and warmth, creating a positive first impression.
- Work the front desk as needed: patient check-in and check-out, appointment intake, and phones.
- Manage a multi-line phone system, directing calls accurately and courteously with excellent phone etiquette.
- Collect patient information, verify insurance where applicable, and complete accurate intake.
- Process payments at time of service and coordinate with the outsourced billing partner on patient-facing questions.
- Maintain a professional, welcoming, and organized reception environment.
Cross-Practice Scheduling Coordination
- Coordinate patient scheduling across Divine Dermatology & Aesthetics and Luxe Derm Spa, ensuring alignment between the two schedules and provider availability.
- Manage provider calendars, schedule blocks, and appointment types across both practices.
- Support cross-referrals between DDA and Luxe Derm Spa, booking follow-up services when patients move between clinical and aesthetic care.
- Optimize schedules to minimize gaps, protect provider productivity, and improve patient access.
- Manage the waitlist, reschedules, cancellations, and confirmations across both locations.
Operations Within Lane
- Support daily opening and closing procedures for the front-of-house.
- Monitor and respond to scheduling-related email and voicemail; route non-scheduling matters to the appropriate team member.
- Perform accurate data entry and maintain patient records and demographics in the EMR.
- Handle filing, document organization, and proofreading of front desk correspondence.
- Track and reorder front desk supplies (patient forms, office supplies, check-in materials).
- Flag scheduling patterns, gaps, and pain points to leadership and suggest improvements.
Communication & Team Collaboration
- Deliver a consistent, high-quality patient experience aligned with the DDA and Luxe Derm Spa brands.
- Communicate clearly and professionally with patients, providers, and staff across both practices.
- Address patient inquiries promptly and efficiently, escalating complex concerns with discretion.
Compliance & Confidentiality
- Handle patient information in accordance with HIPAA and practice privacy policies.
- Support adherence to practice policies, procedures, and applicable regulations.
Qualifications
- Proven experience in a medical, dental, dermatology, or aesthetics front desk or administrative role (2+ years preferred).
- Experience coordinating schedules across providers, service lines, or multiple locations preferred.
- Strong computer literacy: proficiency in Microsoft Office Suite, Google Workspace, EHR/practice management systems, and accurate data entry.
- Experience with multi-line phone systems and standard front-office equipment.
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Exceptional phone etiquette and customer service skills to handle diverse interactions with professionalism.
- Bilingual abilities (English/Spanish or other) are a plus and welcomed to help us serve a diverse patient community.

Working Conditions
- Full-time, on-site at the DDA location, with regular coordination with Luxe Derm Spa.
- Occasional overtime may be needed and is compensated per applicable law.
- Involves prolonged periods at a workstation and regular interaction with patients and staff at the front desk.
