Class specifications are intended to present a descriptive list of the range of duties performed by employees in the class. An employee may be requested to perform other duties assigned within the scope of responsibility and requirements of the job.
Definition
To perform a variety of duties such as:
1. Maintain accurate and organized records including data entry, filing, and scanning.
2. Clerical and financial record keeping.
Examples of Important Responsibilities and Duties—Important responsibilities and duties may include, but are not limited to, the following:
1. Preform general clerical and administrative duties including filing, copying, scanning, and data entry.
2. Answer phones, greet visitors, provide general information, and respond to inquiries from businesses, developers, and the public.
3. Assist with preparing correspondence, reports, spreadsheets, agendas, and meeting materials.
4. Schedule meetings, appointments, and department events.
5. Process invoices, purchase orders, reimbursement requests, and other routine financial documents.
6. Track permits and project information as directed.
7. Assist with maintaining business contact lists and databases.
8. Support department communications including mailings and website.
9. Prepare and distribute meeting notices, minutes, and public information materials.
10. Ensure records are maintained in accordance with departmental policies and records retention requirements.
11. Perform other related duties as assigned.
Qualifications
1. Knowledge of standard office practices and procedures.
2. Strong organization and recordkeeping skills.
3. Proficiency in Microsoft Office Suite including Work, Excel, Outlook, and PowerPoint.
4. Ability to communicate effectively with staff, businesses, elected officials, and the public.
5. Strong customer service and interpersonal skills.
6. Ability to maintain confidentiality and exercise sound judgment.
7. Attention to detail and accuracy in data entry and documentation.
8. Ability to work independently and manage multiple priorities.
9. Must pass a criminal background check.
Experience and Training Guidelines: Any combination of experience and training that would provide the required knowledge and abilities is qualifying. A typical way to obtain knowledge and abilities would be:
· High School diploma or GED
· One year of previous office experience required
Working Conditions
Office environment.
Physical conditions necessary for typing, filing and sitting for long periods of time; lifting or carrying materials up to 25 pounds.
