Responsibilities
Coordinate and manage the CEO’s calendar, including scheduling meetings, appointments, and business travel arrangements with attention to detail and flexibility.
Prepare and organize documents, reports, presentations, and correspondence with excellent proofreading and transcription skills.
Handle confidential information with discretion and professionalism, maintaining strict confidentiality at all times.
Assist with event planning and organizing internal and external meetings or corporate events to ensure smooth execution.
Manage incoming communications via phone, email, video conferencing software, and internal messaging platforms, demonstrating exceptional phone etiquette and communication skills.
Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items to ensure timely completion.
Oversee office management tasks such as filing systems, front desk duties, multi-line phone systems, and general administrative support to maintain an efficient work environment.
Utilize productivity software including Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook Calendar, QuickBooks for bookkeeping tasks, and DocuSign for electronic signatures.
Collaborate closely with C-suite executives and other team members to facilitate internal communication and streamline workflows.
Assist with business bookkeeping activities such as invoicing or expense tracking using QuickBooks or similar tools.
Arrange business travel logistics including transportation bookings, accommodation reservations, and itinerary management.
Skills
Exceptional organizational skills with the ability to multitask efficiently in a fast-paced setting.
Strong technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), video conferencing software (Zoom, Teams), QuickBooks, and other productivity tools.
Excellent written and verbal communication skills paired with professional phone etiquette.
Proven experience in office management or administrative support roles; experience as a personal or executive assistant is highly desirable.
Ability to handle confidential information discreetly while maintaining a high level of professionalism.
Demonstrated project coordination capabilities with attention to detail and deadline management.
Experience in event planning from small meetings to large corporate events; organizing logistics seamlessly from start to finish.
Proficiency in managing calendars using Microsoft Outlook Calendar or similar scheduling tools; adept at coordinating multiple priorities simultaneously.
Strong interpersonal skills with the ability to collaborate effectively across teams and executive leadership levels.
Familiarity with transcription services or proofreading documents for accuracy; capable of producing polished reports or correspondence quickly.

Pay: $48,167.98 - $50,946.51 per year
