We are a diversified property management company overseeing a mixed portfolio of residential apartment communities — including market-rate, Low-Income Housing Tax Credit (LIHTC / Section 42), and HUD-assisted (Section 8 / project-based) sites — as well as office and retail commercial properties. We are seeking an experienced Yardi Systems Administrator / Chief Technology Officer to own our Yardi Voyager environment end to end, direct our broader IT infrastructure and technology strategy, and ensure our systems support the distinct operational and compliance demands of every asset class we manage.
Our organization currently runs on Yardi Voyager 7S and is beginning its transition to Voyager 8, so this role will play a central part in planning and executing that upgrade. This is a position combining hands-on Yardi application administration with executive-level technology leadership. The right person is equally comfortable configuring a menu set, writing a SQL report, resolving a TRACS submission error, and setting the multi-year technology roadmap and budget.
Key Responsibilities
Yardi Voyager Administration
- Serve as the primary administrator and internal subject-matter expert for the Yardi Voyager platform across commercial and residential portfolios.
- Manage user accounts, roles, security groups, menu sets, and property/entity access controls.
- Configure and maintain the chart of accounts, property setup, unit and lease attributes, GL structure, and workflow rules.
- Administer Yardi modules in use across the portfolio (e.g., RentCafe, PayScan / Procure to Pay, Maintenance, CHECKscan, and reporting tools).
- Build, modify, and maintain custom reports, correspondence, financial statements, and dashboards using Yardi SQL Server Reporting (YSR) and related tools.
- Support month-end and year-end close, bank reconciliations, and financial reporting cycles in partnership with accounting.
- Manage data imports/exports, ETL processes, and integrations between Yardi and third-party systems via APIs and interface files.
- Coordinate Yardi version upgrades, patches, module rollouts, and testing; liaise with Yardi support and account management.
Commercial Property Systems (Office & Retail)
- Administer commercial lease functionality including lease abstraction/administration, recoveries, CAM reconciliations, percentage rent, escalations, and recovery agreements.
- Configure and support commercial-specific reporting, billing, and recovery calculations for office and retail assets.
- Support the CommercialCafe / RentCafe tenant and prospect-facing tools as applicable.
Affordable Housing & Compliance Systems (LIHTC / HUD)
- Administer and support the Yardi Affordable Housing / compliance modules for LIHTC and HUD-assisted sites.
- Support HUD workflows including TRACS submissions, EIV, HAP requests, MAT files, tenant certifications (50059), and voucher processing.
- Support LIHTC (Section 42) compliance workflows including income/rent limits, set-aside tracking, and recertifications.
- Configure system rules, certifications, and reporting to keep sites audit-ready for state agencies, HUD, and investors.
- Partner with compliance staff to translate regulatory requirements into accurate system configuration.
IT Infrastructure & Security
- Own the company's IT infrastructure: servers, networks, workstations, virtualization (e.g., VMware), and cloud/hosted environments.
- Oversee system security, including VPNs, access controls, endpoint protection, patch management, and cybersecurity best practices.
- Ensure reliable backups, disaster recovery, and business continuity planning to prevent data loss and minimize downtime.
- Provide (or oversee) end-user technical support and training across corporate and site staff.
- Manage relationships with technology vendors, ISPs, hosting providers, and managed-service partners.
- Develop and maintain documentation for configurations, processes, procedures, and standard operating procedures.
Technology Leadership & Strategy
- Define and execute the company's technology roadmap in alignment with business objectives and portfolio growth.
- Develop and manage the technology budget, including software licensing, hardware, and vendor contracts.
- Evaluate, recommend, and implement new systems and tools (PropTech, integrations, automation) that improve efficiency and reporting.
- Establish data governance, reporting standards, and process improvements across the organization.
- Advise executive leadership on technology risk, compliance/security posture, and investment priorities.
- Stay current on emerging technologies and Yardi product developments relevant to commercial, residential, and affordable real estate.
Required Qualifications
- Demonstrated hands-on experience administering Yardi Voyager 7S in a property management environment; experience with or exposure to Voyager 8 and platform upgrades is a strong plus.
- Working knowledge of property management operations across at least two of the following: commercial (office/retail), market-rate residential, or affordable housing.
- Experience supporting affordable housing compliance systems (LIHTC and/or HUD), including familiarity with TRACS, EIV, certifications, and agency/investor reporting requirements.
- Proficiency writing and troubleshooting SQL / T-SQL queries and reports (YSR or equivalent).
- Solid IT infrastructure background: servers, networking, virtualization, security, and backup/recovery.
- Strong troubleshooting skills and the ability to translate business and compliance needs into system configuration.
- Excellent documentation, communication, and cross-functional collaboration skills.
- Bachelor's degree in Information Technology, Computer Science, Business, or equivalent experience.
Preferred Qualifications
- Experience with commercial lease administration and CAM/recovery configuration in Yardi.
- Familiarity with the RentCafe / CommercialCafe ecosystem, PayScan / Procure to Pay, and Maintenance modules.
- Experience managing Yardi upgrades, implementations, or module rollouts.
- Prior IT leadership, department management, or CTO/IT Director experience.
- Understanding of APIs and system integrations between Yardi and third-party platforms.
- Familiarity with real estate accounting and month-end close processes.
