OVERVIEW:
The Administrative Assistant position is an entry level position within the Administration Department at J. David Tax Law. This position does not require previous administrative experience or experience working in a law firm. Qualified candidates must exhibit a commitment to attention to detail, multitasking and organizational skills, practicing meticulousness, precision and thoroughness in all aspects of work. Strong communication and interpersonal skills are also required as the overall operation of the department relies heavily on collaborative teamwork and effective communication between team members and other departments. Individuals need to be able to continuously maintain discretion as well, as a primary job function involves the knowledge and handling of confidential client information. This is a completely self-driven and self-motivated entry level position with the ability for continual advancement, compensation, and a long-term career.
RESPONSIBILITIES:
- Thorough comprehension and execution of the sorting, organizing and uploading of documents, and implementation of the document naming format.
- Operate as the office receptionist on an as needed and/or ongoing basis and complete all job-related tasks and responsibilities associated with reception.
- Routinely have professional interactions with peers, clientele and potential clientele in both verbal and written form.
- Provide appropriate maintenance of company faxes and the departed attorney/legal aide centralized emails.
- Maintain composure and civility during increased levels of department workloads.
- Efficiently maintain, monitor, and respond to all incoming emails, voicemails, and phone calls.
- Punctuality, with a firm adherence to work attendance protocols.

QUALIFICATIONS:
- Self-motivated and self-directed in job-related tasks and performance.
- Must be client and customer service focused.
- Must be able to exhibit continuous dependability and have a reliable form of transportation to and from work.
- Proficient written and verbal communication, exemplifying professionalism in person, phone, and email etiquette as a representative of J. David Tax Law.
- Ability to work both independently and cohesively alongside other team members as well as other departments and co-workers within the company.
- Must be neat and organized, with the innate ability to prioritize and multitask and implement effective time management.
- Basic computer literacy and navigational ability (Microsoft Suite, including Word, Excel and Outlook, Adobe Acrobat).
- Ability to perform efficiently under periods of stress and pressure while retaining composure.
