Executive Assistant
We are currently seeking an Executive Assistant to join a Boston-based investment management firm. This Executive Assistant position will provide direct administrative support to senior leadership while also overseeing the day-to-day operations of the office. The ideal candidate will have 2–5 years of administrative experience within investment management, financial services, or a similar professional environment and will be comfortable working in a smaller organization where responsibilities are broad and highly visible.
This is a 3–6+ month contract-to-hire opportunity paying $40–$55/hour, depending on experience.
The Executive Assistant will work a hybrid schedule consisting of four days onsite and one day remote each week.
Candidates must be located in the Greater Boston area and willing to work four days per week onsite in Boston, MA.
Responsibilities:
- Manage complex Outlook calendars, meetings, scheduling, and travel arrangements for executives and senior leaders.
- Prepare meeting materials and assist with presentations and communications for leadership, board, and investor meetings.
- Serve as a key point of contact for senior executives, helping prioritize requests and manage incoming communications.
- Oversee daily office operations, including vendors, facilities, supplies, equipment, and building-related needs.
- Coordinate internal meetings, company events, offsites, and client-facing gatherings.
- Support new-hire onboarding by coordinating equipment, workspace setup, and other office logistics.
- Handle expense reports, correspondence, confidential materials, and special projects as needed.
- The Executive Assistant & Office Manager will proactively identify administrative and office needs and work independently to keep operations running smoothly.
Qualifications:
- 2–5 years of experience as an Executive Assistant, Administrative Assistant, Office Coordinator, or similar administrative professional.
- Experience within investment management, financial services, professional services, or a comparable corporate environment.
- Previous experience working within a small to mid-sized organization is strongly preferred.
- Bachelor’s degree required.
- Strong proficiency with Microsoft Outlook, particularly executive calendar management.
- Highly organized, self-motivated, confident, and comfortable anticipating the needs of senior leadership.
- Strong written and verbal communication skills with the ability to handle confidential information professionally.
