SUMMARY:
The Operations Coordinator works with colleagues in various departments to facilitate and promote efficiency throughout the business and its daily activities, including that all accounts are staffed.
This position serves as a key liaison between operations, human resources, finance, clients, and executive leadership to ensure all accounts are properly staffed, operational objectives are achieved, and company standards are maintained.
DUTIES AND RESPONSIBILITIES:
· Facilitate communication and feedback between customers, employees, and management to support operational effectiveness and continuous improvement.
· Collaborate with team leaders, managers, and department heads to understand departmental needs, objectives, and operational priorities.
· Coordinate, track, and document the progress of operational, administrative, and strategic projects assigned by management, ensuring objectives, timelines, and deliverables are achieved successfully.
· Collaborate with cross-functional departments to implement new initiatives, processes, procedures, operational improvements, and technology solutions that enhance efficiency, communication, and service delivery.
· Support the management team in identifying, addressing, and resolving operational issues that may impact business performance.
· Assist with the implementation of new client accounts, system rollouts, audits, and other company initiatives as directed.
· Conduct research, gather and analyze data, and provide recommendations to support informed decision-making, operational efficiency, and continuous improvement.
· Observe, review, and analyze operational processes to identify inefficiencies, risks, and opportunities for improvement.
· Prepare project status reports, operational analyses, dashboards, and performance metrics, providing management with regular updates and recommendations.
· Maintain accurate, current, and complete data across all company operational platforms, ensuring information is updated in a timely manner and aligned with company standards.
· Serve as the primary administrator for operational data management within the RMC System, ensuring employee, account, and operational information is accurate and up to date. Assign and manage all required employee training, onboarding, compliance, safety, and operational courses within the system; monitor training completion status; generate and distribute training compliance and completion reports; follow up on overdue training requirements; and maintain accurate training records to support company compliance and operational objectives.
· Maintain and update content, documents, forms, procedures, announcements, and operational resources within the Kings Intranet to ensure employees have access to current and accurate information.
· Manage and maintain data within OTUVI (Inspection Software), including inspection schedules, reports, corrective actions, account information, and operational records. Support the implementation of new client accounts by creating and configuring account profiles, inspection templates, schedules, reporting structures, and operational requirements within OTUVI, ensuring all information is accurate, complete, and ready for operational launch.
· Coordinate with management and department leaders to ensure inspection results, compliance records, corrective actions, and operational metrics are accurately documented, maintained, and tracked within OTUVI.
· Assist with the maintenance and updating of operational content, service information, company announcements, and other approved materials on the Kings Website.
· Support the implementation of new modules, enhancements, and system upgrades for RMC, Kings Intranet, OTUVI, and other company platforms, including testing, troubleshooting, training, and user support.
· Monitor data integrity across all operational systems and proactively identify discrepancies, missing information, compliance concerns, or process gaps requiring corrective action.
· Develop and maintain standardized procedures for data entry, recordkeeping, reporting, and system administration to ensure consistency, accuracy, and compliance throughout the organization.
· Provide training, guidance, and ongoing support to employees on the proper use of company systems, software platforms, operational tools, and reporting processes.
· Maintain daily communication with the operations team regarding staffing needs, schedule changes, client requests, and other time-sensitive operational matters.
· Maintain confidentiality in all aspects of client, employee, and company information.
· Ensure assigned projects and initiatives are completed in accordance with company standards, policies, procedures, and deadlines.
EDUCATION AND EXPERIENCE:
· Bachelor’s Degree in Business Administration and other related discipline
· Project management experience a plus
· A combination of the before mentioned and experience will be accepted.

· Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, and Teams.
· Experience working with business management systems, learning management systems (LMS), inspection software, intranet platforms, and web-based applications.
· Ability to create reports, dashboards, spreadsheets, and presentations for management review.
· Strong attention to detail and commitment to data accuracy and integrity.
· Ability to work independently while effectively collaborating with cross-functional teams.
· Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
· Demonstrated ability to adapt to changing priorities and work effectively in a fast-paced environment.
