Fireplace Center Bozeman is looking for a dependable, organized Service Coordinator to help keep our Service Department running smoothly. This position serves as the communication hub between our customers, service technicians, vendors, and internal team.

Please Note: This position supports a field-service and construction-related operation. Candidates with prior experience in construction, trades, service dispatching, HVAC, plumbing, electrical, appliance repair, fireplace, warehouse, inventory, SKU numbers or similar industries will be given preference.
Responsibilities
Customer Communication
- Answer incoming phone calls, emails, and customer inquiries
- Schedule service appointments and communicate appointment details with customers
- Provide updates on service status, parts availability, and scheduling changes
- Follow up with customers after service visits when needed
- Deliver a professional and positive customer experience during every interaction
Scheduling & Dispatching
- Schedule and dispatch service technicians for maintenance, warranty, troubleshooting, and repair work
- Coordinate technician schedules to maximize efficiency and productivity
- Adjust schedules as priorities change throughout the day
- Ensure technicians have complete job information before arriving on site
- Assist with emergency and priority scheduling when needed
Service Department Support
- Create and manage work orders
- Coordinate parts, materials, and equipment needed for service appointments
- Track open service tickets and follow through until completion
- Assist technicians with job-related questions, scheduling needs, and customer communication
- Help maintain service department organization and workflow
Administrative Duties
- Maintain accurate customer records, service notes, photos, and job documentation
- Process service invoices and verify billing accuracy
- Assist with warranty claims and vendor communications
- Prepare reports and provide administrative support to department leadership
- Ensure paperwork and documentation are completed accurately and on time
Qualifications
Required
- Minimum 2 years of experience in service coordination, dispatching, scheduling, project coordination, office administration, or customer service within the construction, home services, mechanical, HVAC, plumbing, electrical, appliance repair, fireplace, or related trades industry
- Proven ability to coordinate technicians, manage schedules, and prioritize multiple service calls in a fast-paced environment
- Strong communication skills with the ability to interact professionally with homeowners, builders, contractors, vendors, and field personnel
- Highly organized with exceptional attention to detail and the ability to follow projects through to completion
- Proficiency with Microsoft Outlook, Word, Excel, and scheduling or CRM software
- Ability to read and understand work orders, job notes, service reports, and installation schedules
- Strong problem-solving skills and the ability to adapt to changing priorities throughout the day
- Positive attitude, strong work ethic, and willingness to learn
- Experience in construction, home services, trades, or field-service operations is required
Preferred
- Construction, trades, HVAC, plumbing, electrical, fireplace/hearth, or service industry experience preferred but not required
- Experience with scheduling, dispatching, or service management software
- Knowledge of service operations, inventory management, or project coordination

Physical Requirements
- Occasionally lift and carry up to 50 pounds
- Ability to move throughout the showroom, warehouse, and active jobsites as needed
- Wear appropriate safety equipment when visiting jobsites
Compensation
$28.00–$35.00 per hour DOE (Depending on Experience)
