Position Overview: Maintenance Coordinator & Tenant Relations Manager will join International City Property Management and oversee the day-to-day maintenance operations of the properties the company manages. The Maintenance Coordinator & Tenant Relations Manager will play a crucial role in ensuring that all maintenance requests are addressed promptly and efficiently, coordinating with the internal team, tenants, owners, and external vendors, to maintain the highest standards of property upkeep.
Responsibilities:
Maintenance Request Management:
- Receive, review, and prioritize maintenance requests from tenants and owners. These may come in the form of work orders in AppFolio, or tenant voicemails/phone calls that will need to be transcribed into a formal work order in AppFolio.
- Coordinate with maintenance technicians and vendors to schedule repairs and maintenance tasks, and inspections, as well as facilitate all billing and payments
- Ensure timely completion of maintenance work, while adhering to budgetary constraints and service level agreements with each owner.
- Answer all inbound maintenance phone calls in real time and return all maintenance related voicemails, texts or emails to tenants and owners.
Vendor Management:
- Assist in the oversight of service agreements, and pricing with vendors, to ensure cost effectiveness and quality of service.
Emergency Response:
- Coordinate emergency repairs and responses, including after-hours and weekend support, as needed, with the support of AppFolio smart maintenance team.
Tenant Relations Responsibilities:
- Act as the main liaison between tenants and property management company
- Respond promptly to tenant inquiries via phone, email, and in person
- Coordinate move-ins, move-outs, and unit turnovers
- Assist with lease renewals, notices, and documentation
- Enforce lease terms and community policies in a professional manner
- Conduct periodic tenant check-ins to ensure satisfaction and address concerns
- Support rent collection efforts, including sending reminders and assisting with delinquencies
- Maintain accurate tenant records and update property management systems
- Assist with community events or initiatives to enhance tenant engagement
Communication and Reporting:
- Communicate regularly with the property management team, owners, and tenants to provide updates on maintenance activities and address any concerns or inquiries as well as request bids for work and facilitate all owner approvals.
- Prepare regular reports on maintenance performance, including key metrics such as response times, completion rates, and budget variance.
- Collaborate with rest of the property management team to identify opportunities for process improvements and service enhancements.
Expectations & Experience:
- Must be able to work independently and as part of a team, demonstrating reliability, initiative, and attention to detail.
- Flexibility to respond to emergency situations outside of regular ICPM business hours.
- Recommended 2+ years property management experience
- Proficient in AppFolio property management software, 2+ years experience recommended
