Position Summary
The Assistant Community Manager supports the Community Manager in the daily operations of a multifamily apartment community. This role plays a key part in leasing, resident relations, administrative functions, and coordination with maintenance to ensure efficient operations and high-quality service. The Assistant Community Manager may assume Community Manager responsibilities in their absence and serves as an important point of contact for residents and prospective residents.
Core Responsibilities
- · Assist the Community Manager with daily operations of the apartment community
- · Answer incoming phone calls and respond to resident and prospect inquiries
- · Perform general administrative duties, recordkeeping, and data entry
- · Support marketing and leasing initiatives
- · Maintain knowledge of apartment availability, unit condition, and rental pricing
- · Conduct leasing activities, including:
Showing apartments to prospective residents
Assisting with applications and screening processes
Reviewing applications for completeness and submitting to screening services
Preparing leases and ensuring proper execution
Accepting and recording resident payments
- · Perform move-in and move-out inspections and complete condition reports
- · Coordinate and manage maintenance requests and work orders
- · Ensure vacant units are rent-ready in a timely and cost-effective manner, including light cleaning and minor maintenance tasks as needed
- · Maintain cleanliness of the leasing office and common areas
- · Communicate professionally and courteously with residents, vendors, and team members
- · Share coverage of the property emergency phone as scheduled
- · Perform Community Manager duties during absences as directed
- · Ensure compliance with company policies, procedures, and fair housing requirements
- · Perform additional duties as assigned by Community Manager or Portfolio Manager
All responsibilities are performed under the direction and approval of the assigned Portfolio Manager, and duties may be adjusted based on operational needs.
Minimum Qualifications & Requirements
- · Experience working with customers, clients, or residents, or demonstrated transferable skills
- · Strong customer service, organizational, and communication skills
- · Ability to manage multiple tasks in a fast-paced environment
- Basic computer skills and ability to learn property management software
- · Knowledge of leasing processes and resident relations preferred
- · Reliable transportation, valid Washington State driver’s license, and active auto insurance
