The Documentation Specialist is designated as Key Personnel under the IT System Administration and Operational Core Services contract. This role is responsible for creating, managing, and maintaining high-quality documentation that supports IT operations, business processes, and survey data entry requirements. The Documentation Specialist ensures accuracy, compliance, and usability of documentation across system administration, infrastructure, business support systems, and data entry functions, thereby enabling efficiency, transparency, and continuity of operations.
Develop, maintain, and update technical and operational documentation for IT environments, including systems configurations, processes, and procedures.
Document workflows, policies, and best practices for:
System administration (Linux, Windows, VMware, M365, cloud environments).
ServiceNow administration, workflows, and integrations.
Help Desk processes, customer support SOPs, and end-user knowledge base articles.
Data entry/keypunching processes for survey operations.
Produce and maintain contract deliverables (e.g., Weekly Status Reports, Monthly Status Reports, progress meeting notes, implementation plans, and knowledge transfer materials).
Ensure all documentation is clear, consistent, accurate, and compliant with federal and standards.
Maintain and publish user guides, training materials, and reference documentation for IT systems and survey workflows.
Support quality assurance by reviewing documentation for completeness and compliance with contract and COR requirements.
Collaborate with program staff, IT administrators, and contractors to gather information and translate technical details into user-friendly documentation.
Track version control, maintain documentation repositories, and safeguard contractor-produced materials (Government property).
Education: Bachelor’s degree in English, Communications, Information Systems, or related discipline.
Experience:
3–5 years of experience in technical writing, documentation, or knowledge management for IT or federal programs.
Familiarity with IT system administration, survey data entry workflows, and ServiceNow platforms.
Skills:
Proficiency with Microsoft 365 Suite (Word, Excel, PowerPoint, Teams, SharePoint).
Ability to translate technical IT processes (Linux, VMware, M365, ServiceNow) into clear end-user documentation.
Strong editorial, proofreading, and compliance-checking skills.
Experience maintaining knowledge bases and producing structured deliverables.
Certifications (Preferred):
Designated as Key Personnel – substitutions require CO approval.
Onsite at expected unless otherwise authorized by the COR.
Must support contract deliverable schedules (weekly, monthly, quarterly) and align documentation with BEA’s strategic IT initiatives and survey processing timelines.
