Overview
We are seeking a dynamic and organized PART TIME Office Manager/bookkeeper to join our Small Landscape team! Responsibilities
- Manage daily office operations, including overseeing front desk activities
- Handle multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
- Maintain organized filing systems, data entry, and record keeping using tools like Microsoft Office, and QuickBooks.
- Support calendar management, appointment scheduling, and coordinate meetings for team members or executives
- Assist with bookkeeping tasks, including invoicing, expense tracking, and basic financial recordkeeping
- Provide clerical support such as proofreading documents, managing correspondence, and performing general administrative duties
- Serve as a bilingual communicator when needed to assist diverse clients or team members effectively Accounting Responsibilities
- Check daily invoices, enter, and pay invoices
- Record daily deliveries and related expenses
- Process credit applications
- Accept customer payments
- Make collection calls and emails for past due customers
- Maintain sales tax exemption certificates
- Process stored credit card payments
- Enter vendor bills
- Process vendor credits
- Communicate vendor shortages, warranties, and claims
- Enter company credit card transactions and reconcile monthly statements
- Prepare monthly sales tax reports

Skills
- If this sounds exciting to you, we are seeking a leader with these qualifications:
- 2+ years’ experience in the landscape industry in an account management or similar capacity
- Determination to exceed the goals of position, department, and company by working independently and as an effective leader.
- Experience with office management tasks including filing, data entry, and organization skills
- Excellent customer service abilities with professional phone etiquette and customer support experience
- Must be a self-starter and be able to work independently
- Must maintain professional competence, ethical integrity, knowledge, and skills
- Familiarity with multi-line phone systems and front desk responsibilities in a professional setting
- Knowledge of QuickBooks or bookkeeping software is REQUIRED
- Ability to multitask efficiently while managing time effectively in a fast-paced environment
- Miscellaneous tasks/projects as assigned
- Personal assistant or landscaping/ horticultureal experience is a plus for understanding specialized workflows.
- Bilingual skills are advantageous for supporting diverse client needs
