We are seeking an energetic and highly organized Lot Coordinator/Administrative Assistant to join our dynamic team. Duties
- Coordinate vehicle arrivals and departures, ensuring accurate documentation and timely processing
- Serve as the front desk receptionist, greeting visitors and clients with professionalism and courtesy
- Answer multi-line phone systems promptly, providing excellent customer support and directing calls appropriately
- Handle data entry tasks related to vehicle inventory, customer information, and administrative records with precision
- Organize files, documents, and correspondence through effective filing systems both physically and digitally
- Assist with calendar management for appointments, meetings, and deadlines to ensure efficient time management for team members
- Support office management duties including supply ordering, proofreading documents, and maintaining a clean work environment
Qualifications
- Proven office experience with strong clerical skills including filing, data entry, and document proofreading
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Strong phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are a plus to enhance communication with diverse clients and staff
- Demonstrated computer literacy with familiarity in office management tools and basic troubleshooting
- Previous administrative or personal assistant experience is preferred but not required
- Exceptional time management skills to prioritize tasks effectively throughout the day
