Job Overview
Builder Scaled LLC is seeking a highly organized, proactive, and detail-oriented Project Manager to help oversee residential and commercial pre-construction projects from initial intake through permit approval.
Builder Scaled is an all-in-one pre-construction platform serving clients across all 50 states. We help contractors, developers, homeowners, and business owners move from feasibility to architectural plans, engineering, permitting, and issued approvals through a streamlined, technology-enabled process.
This role is ideal for someone who understands construction, design coordination, permitting, and client communication. The Project Manager will be responsible for keeping projects organized, timelines moving, clients updated, and internal teams aligned. You will work closely with clients, designers, engineers, permit coordinators, consultants, and internal leadership to ensure projects are completed accurately, efficiently, and professionally.
The ideal candidate is a strong communicator, highly accountable, comfortable managing multiple projects at once, and able to bring structure to a fast-moving environment.
Key Responsibilities
Lead and manage pre-construction projects from onboarding through completion, including feasibility, architectural plans, engineering, permitting, and related deliverables.
Serve as the main point of contact for clients, ensuring clear communication, timely updates, and a professional client experience throughout the project lifecycle.
Coordinate with internal team members, architects, designers, engineers, permit specialists, consultants, and outside partners to keep projects moving forward.
Manage project timelines, deliverables, task assignments, status updates, and follow-ups through Builder Scaled’s custom project management dashboard.
Use Slack for internal team communication and coordination across departments.
Track project-related budgets, invoices, payments, and financial details in coordination with leadership and accounting through QuickBooks.
Review project scopes, proposals, contracts, plans, drawings, permit requirements, and client expectations to ensure alignment before and during project execution.
Help identify missing information, project risks, scope gaps, client delays, jurisdiction requirements, or internal bottlenecks before they impact timelines.
Coordinate plan revisions, engineering updates, permit comments, resubmittals, and other project changes as needed.
Maintain accurate project documentation, communication records, files, and status notes.
Schedule and lead internal project coordination meetings as needed to review priorities, blockers, and upcoming deadlines.
Ensure clients receive timely and accurate updates regarding project status, next steps, outstanding items, and expected timelines.
Support permitting workflows by helping coordinate required documents, jurisdictional requirements, plan corrections, and communication with permit teams or building departments.
Work with leadership to improve internal systems, project processes, client communication, and operational efficiency.
Help ensure every project is delivered with professionalism, accuracy, speed, and a high level of client service.
Required Experience & Qualifications
Proven experience in project management, construction coordination, pre-construction, permitting, architecture, engineering, real estate development, or a related field.
Strong understanding of residential and/or commercial construction processes, including plans, engineering, permitting, scopes of work, timelines, and client communication.
Ability to read and understand construction drawings, site plans, architectural plans, engineering documents, permit comments, and basic construction-related documentation.
Experience coordinating with architects, engineers, designers, contractors, consultants, permit departments, or construction professionals.
Strong organizational skills with the ability to manage multiple active projects, deadlines, clients, and team members at the same time.
Excellent written and verbal communication skills.
High attention to detail and the ability to catch missing information, unclear scopes, inconsistencies, or potential project issues early.
Ability to work in a fast-paced, remote or hybrid environment with a high level of ownership and accountability.
Comfortable using Slack, custom project management dashboards, QuickBooks, and other digital tools to manage communication, tasks, documents, and project information.
Strong problem-solving skills and the ability to stay calm, professional, and solution-oriented when challenges arise.
Ability to follow up consistently, push projects forward, and hold both internal and external stakeholders accountable.
Preferred Qualifications
Experience with permitting, plan coordination, entitlement, feasibility, or building department processes.
Experience working with residential additions, ADUs, custom homes, commercial tenant improvements, ground-up projects, or development-related projects.
Familiarity with multi-state permitting, design, engineering, or jurisdictional coordination.
Experience working in a startup, high-growth company, construction technology company, architecture/engineering firm, design-build company, or construction services business.
Basic understanding of project budgets, change orders, invoices, and client billing.
