GENERAL STATEMENT OF DUTIES: Performs payroll, accounts receivable, accounts payable functions. Process bi-weekly payroll and maintain personnel files. Prepare deposits and reconcile bank accounts. Review all invoices for appropriate documentation and approval prior to payment Process check requests. Respond to all vendor inquiries Reconcile vendor statements, research and correct discrepancies and strong communication skills, and does related work as required. Accomplishing accounting and organization mission by completing relevant work and all necessary reports in a timely manner
DISTINGUISHING FEATURES OF THE CLASS: QuickBooks for Windows payroll systems. Proficiency and knowledge of wage withholding orders and garnishments, Advanced knowledge of Excel, Excellent client and customer service skills. Excellent communication skills, Ability to work in a team-oriented environment. Ability to work independently in a time sensitive environment. Must possess sound decision-making skills and multi-task while working in an environment of stress with specific deadlines. Also calls for flexibility, excellent interpersonal skills, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. The work is performed under the supervision of the Manager of Accounting, but the employee is required to use independent judgment within established policy, regulations, and guidelines.
EXAMPLES OF WORK:
· Complete payroll bi-weekly
· Complete A/P process, including the classification of invoices for payment and processing checks Assist.
· Complete A/R functions, creation and tracking of invoices, documenting payments and monthly billing.
· Perform bank statement reconciliation on a daily and monthly basis
· Ability to communicate effectively verbally and in writing by use of interpersonal skills in order to communicate with employees who have little understanding of accounting/finance and to communicate with day-to-day business contacts regarding A/R, A/P and Payroll.
· Provides clerical/administrative support, including the composition and preparation of routine correspondence and presentations using computer software applications.
· Other duties as assigned.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES: Proven knowledge of accounting principles, practices standards, laws and regulations and success in the following job competencies: Ability to manipulate large quantities of data, QuickBooks, MS Office Suite, Communication, and Presentation, Strong organizational habits, Customer Focus and Relationship Building, Information and Technology Proficiency, At least two years of experience in the Accounting and Payroll so as to have a good knowledge of basic bookkeeping and accounting principles. Organizational skills and the ability to multi-task Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures; Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately; Ability to be flexible, open-minded, self-motivated approach to getting the job done; Ability to communicate effectively, establish rapport, and maintain effective working relationships with individuals, vendors, and employees; Possession of valid motor vehicle operator's license and clean driving record, H.S. diploma/GED required.
