Job Summary
We are seeking a proactive and highly organized Executive Assistant to join our dynamic team. Duties
- Manage complex calendars and schedule appointments, meetings, and travel arrangements for executive team members
- Handle incoming calls using multi-line phone systems with professionalism and courtesy, directing inquiries appropriately
- Prepare, proofread, and organize correspondence, reports, presentations, and other documents using Microsoft Office and Google Workspace productivity software
- Coordinate office operations including filing, data entry, bookkeeping, and maintaining office supplies inventory
- Serve as the front desk receptionist, greeting visitors and clients while providing exceptional customer service and phone etiquette
- Assist with client communication by responding promptly to inquiries via email or phone, ensuring positive engagement
- Support special projects by organizing files, conducting research, and managing deadlines efficiently
Requirements
- Proven experience in office management or administrative support roles with at least one year of clerical experience
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, spreadsheets, and data entry tools
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Exceptional communication skills in both English and bilingual capabilities (preferred) for diverse client interactions
- Familiarity with QuickBooks for bookkeeping tasks and basic financial record keeping is a plus!
- Experience managing calendars, scheduling appointments, and handling multi-line phone systems with professionalism
- Demonstrated ability to handle confidential information discreetly while maintaining high attention to detail
- Technical proficiency in office equipment such as printers, scanners, and phone systems; experience as a medical or dental receptionist is advantageous
- Strong typing speed for efficient document processing along with proofreading skills to ensure accuracy in all communications
- Customer service orientation combined with excellent phone etiquette and client communication skills
- Ability to adapt quickly to changing priorities while maintaining productivity software fluency and time management skills
