As our company continues to grow, we are looking for a highly organized, proactive, and dependable Executive Assistant & Project Coordinator to help support our day-to-day operations and keep important projects moving forward.
Position Summary
The Executive Assistant & Project Coordinator will provide executive support, coordinate business projects, and help ensure priorities, deadlines, and commitments are executed efficiently. This is an opportunity to grow with an expanding entrepreneurial company.
Key Responsibilities
Executive Support
· Manage calendars, appointments, and scheduling.
· Coordinate meetings and prepare agendas.
· Arrange travel and logistics.
· Draft correspondence and presentations.
· Manage email follow-up and action items.
· Maintain confidential records and files.
Project Coordination
· Track project timelines and deliverables.
· Coordinate vendors, suppliers, and service providers.
· Assist with proposal preparation and administrative documentation.
· Monitor action items and ensure timely follow-up.
· Conduct research and prepare reports.
Administrative Operations
· Maintain organized filing systems and business records.
· Coordinate meetings, workshops, and special events.
· Support office administration and process improvements.
· Assist with customer and client communications.
· Perform other administrative and project-related duties as assigned.
Qualifications
Required
· 5+ years of Executive Assistant, Administrative, Operations, or Project Coordination experience.
· Excellent written and verbal communication skills.
· Strong organizational and time management skills.
· Exceptional attention to detail.
· Ability to manage multiple priorities.
· Proficiency with Microsoft Office and Google Workspace.
· High level of professionalism and confidentiality.
Preferred
· Experience supporting business owners or senior executives.
· Project coordination experience.
· CRM experience.
· Canva experience.
· Familiarity with AI tools such as ChatGPT.
· Event coordination experience.

Compensation
Compensation will be based on experience and qualifications. Performance-based incentives and commission opportunities may be available as the company grows.

Pay: $45,000.00 - $55,000.00 per year
