GENERAL PURPOSE OF JOB:
This role serves as a primary point of contact for customer inquiries while assisting with administrative, clerical, and office support functions to ensure efficient business operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Customer Service
- Answer incoming phone calls, emails, and customer inquiries in a professional and timely manner.
- Process customer orders, requests, and account updates.
- Arrange shipment, creating packing slips, BOL, and COC’s
- Maintain material certs, prepare material certs for customers and ship documents
- Confirm customer orders, check and review billing
- Maintain all customer PO’s
- Match packing tickets with orders for billing
- Closing orders in ERP system
- Provide product, pricing, and order status information.
- Resolve customer concerns and escalate issues when necessary.
- Maintain positive customer relationships through excellent service and communication.
- Track and follow up on customer requests to ensure satisfaction.
Administrative Support
- Perform general office duties including filing, scanning, data entry, and document management.
- Maintain customer records and company databases.
- Prepare reports, correspondence, and other business documents.
- Assist with scheduling meetings, appointments, and office activities.
- Process incoming and outgoing mail and shipments.
- Support inventory tracking, purchasing, and office supply management.
- Assist accounting staff with invoicing, payment tracking, and recordkeeping as needed.
- Maintain confidentiality of company and customer information.
- Pull quotes, blueprints and other files as needed
- Scan for permanent record company documents
- Maintain office supplies
- Credit applications for new customers
- Backup for AR, invoicing, collections
Compliance & Documentation
- Adhere to Company policies as described in Employee handbook.
- Follow all procedures as they pertain to this position.

- Maintain a safe and orderly work environment.
- Other tasks as assigned.
EDUCATION and/or EXPERIENCE:
· Associate’s degree (A.A.) or equivalent from two-year College or technical school; or two-years or more related experience and/or training; or equivalent combination of education and experience.
· 2+ years of customer service experience in a manufacturing or industrial environment.
· 2+ years of administrative experience
· Strong understanding of manufacturing processes, order management, and production scheduling.
· Excellent communication, problem-solving, and conflict-resolution skills.
· Proficiency with ERP/MRP systems and Microsoft Office applications.
· Ability to manage multiple priorities in a fast-paced manufacturing environment.
· Strong attention to detail and commitment to customer satisfaction.
LANGUAGE SKILLS:
· Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
· Ability to write reports, business correspondence, and procedure manuals.
· Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
· Bi-lingual is a plus
MATHEMATICAL SKILLS:
· Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
· Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY:
· Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
· Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Pay: $25.00 - $30.00 per hour
