Position Overview
About the Role
We are a food manufacturer based in Hialeah looking for a Logistics Assistant to support the day-to-day movement of product between our production facility, third-party cold storage warehouses, and customer distribution centers. This is a hands-on, detail-driven role for someone who is comfortable living in spreadsheets, chasing down answers, and keeping shipments on schedule.
You will work directly with our sales and operations team on-site. Accuracy matters here a wrong lot code or a miscounted pallet becomes a customer chargeback, so we are looking for someone who double-checks their own work.
What You'll Do
- Prepare and track shipping documentation, including bills of lading, order releases, and packing lists
- Coordinate inbound and outbound freight with carriers, brokers, and third-party warehouses; confirm pickup and delivery appointments
- Pull and reconcile inventory reports; monitor lot codes, on-hand quantities, and product age across warehouse locations
- Build and maintain shipment and pallet plans, case counts, tiers, pallet quantities, and load order
- Enter and maintain purchase orders, item numbers, and shipment data in our systems and customer portals
- Build and update recurring Excel reports for inventory, order status, and shipping activity
- Communicate with warehouse and production teams to confirm product availability and resolve discrepancies
- Investigate shorts, damages, and delivery issues, and follow through until they are closed out
- Maintain organized records for audits, customer requirements, and food safety documentation
- Provide general administrative support to the logistics department as needed
What You Need
- 2-3 years of experience in logistics, shipping/receiving, supply chain, warehousing, or a similar operations role
- Advanced Excel skills you should be comfortable with VLOOKUP/XLOOKUP, pivot tables, SUMIFS/COUNTIFS, text and date functions, filtering and sorting large data sets, and cleaning up messy exports. Excel proficiency will be assessed during the interview process.
- Strong attention to detail and comfort working with numbers, item codes, and large data files
- A willing, can-do attitude. This is a role where priorities shift, and we need someone who pitches in without being asked twice
- Clear written and verbal communication with carriers, warehouses, and internal teams
- Ability to prioritize and stay organized under deadline pressure
- Reliable transportation and the ability to work on-site in Hialeah, FL every scheduled day
- High school diploma or equivalent
Nice to Have
- SAP experience - comfort navigating material master data, purchase orders, deliveries, and inventory transactions
- Bilingual English/Spanish
- Experience in food, beverage, produce, or another perishable/temperature-controlled industry
- Familiarity with retailer or distributor portals (e.g., Walmart Retail Link, customer EDI portals)
- Experience with an inventory management system
- Working knowledge of cold chain handling, FIFO/FEFO rotation, lot traceability, or food safety documentation
Work Environment & Physical Requirements
This position is based in our Hialeah facility. Most of the work is performed at a desk, with regular time spent on the production floor and in warehouse and cold storage areas. Occasional exposure to refrigerated or freezer environments should be expected.
