POSITION: Assistant Wedding & Event Coordinator

POSITION SUMMARY
The Assistant Wedding Coordinator at Madera Estates plays a vital support role in the successful execution of weddings and special events at our venue. Working closely with our lead Wedding Coordinators, this part-time position is ideal for individuals who are passionate about hospitality, detail-oriented, and eager to contribute to creating memorable client experiences. This role requires availability primarily on weekends and evenings, as event schedules dictate.
DUTIES & RESPONSIBILITIES
Pre-Event Preparation
Confirm assignment and attendance by responding to the coordinator’s email.
Print and review all necessary event documents (or coordinate with the lead to have them printed).
Confirm dress code and communicate with the coordinator prior to event day.
Notify the coordinator when en route to the venue.
Day-of Event Support
Check in with the lead coordinator upon arrival and receive instructions.
Maintain communication throughout the event via walkie-talkie and in-person updates.
Assist with setup tasks, which may include placing linens, centerpieces, candles, chairs, signage, and light food service items.
Support client needs, such as fetching food/drinks, pinning boutonnieres, or assisting elderly/disabled guests.
Professional Presence
Remain attentive, off phones, and professional throughout the event.
Dress according to event-day standards: black, modest, professional attire with neutral comfortable shoes (no heels).
Adhere to grooming and dress code guidelines established by Madera Estates.
Guest & Client Interaction
Provide outstanding, respectful service to clients and their guests.
Defer to the lead coordinator in any challenging guest situations
End-of-Night Duties
Assist in gathering and organizing all client personal items, gifts, décor, and heirlooms.
Help coordinate the grand exit in tandem with banquet staff.
Ensure client belongings are secured in the designated vehicle.
Conduct a final walkthrough with the lead coordinator before dismissal.
Document key end-of-night details (e.g., photos of cards, collected items) and send to the coordinator.
MINIMUM REQUIREMENTS
Positive, friendly, and professional demeanor.
Ability to follow directions and stay focused in a fast-paced environment.
Strong communication and time-management skills.
Able to lift up to 25 lbs and stand for extended periods.
Willingness to work primarily weekends and occasional weekday events.
Trustworthy and capable of handling sensitive or personal items.
Prior experience in weddings, events, or customer service roles is a plus.
Spanish bilingual a plus.
