Position Overview
1st Pain Specialists is looking for a driven, detail-oriented Care Coordinator to join our Concierge Care team. This is not a passive administrative role — it is a high-touch, relationship-driven position at the center of the patient experience in a personal injury setting.As a Care Coordinator, you will own a caseload of patients from the moment they begin treatment through the conclusion of their care. You are the bridge between the patient, our clinical team, and the legal process surrounding their case.This role requires someone who is organized, empathetic, persistent, and comfortable navigating the intersection of healthcare and personal injury. We are looking for individuals who are motivated when challenged and want to be part of an elite, concierge-level team.
Key Responsibilities:
Patient File & Case Management
- Manage and maintain organized, up-to-date files for each patient in your caseload from intake through end of care.
- Ensure all documentation, records, and correspondence are accurately entered and easily accessible.
- Track each patient's treatment journey, identifying gaps, delays, or action items that need to be addressed.
- Manage multiple files simultaneously with a high level of accuracy and attention to detail.
- Ensure all deadlines and follow-up tasks are met without reminders.
Patient Communication & Experience
- Serve as the primary point of contact for your assigned patients throughout their entire care journey.
- Proactively reach out to patients to provide updates, confirm upcoming appointments, and address any questions or concerns.
- Deliver a concierge-level experience — patients should always feel informed, supported, and prioritized.
- Handle patient inquiries with professionalism, empathy, and timeliness.
Legal & External Coordination
- Communicate with patients' legal teams to provide treatment updates and documentation as needed.
- Respond to requests from law firms for status updates, and appointment summaries in a timely manner.
- Maintain professionalism and discretion in all communications involving patient and case information.
Documentation & Compliance
- Maintain thorough, accurate records of all patient interactions, outreach attempts, and file activity.
- Ensure all documentation is handled in full compliance with HIPAA and company confidentiality policies.
- Support audit readiness by keeping files complete, organized, and properly logged at all times.

Requirements:
- 1+ year of experience in patient coordination, case management, medical administration, or a related field (preferred)
- Familiarity with the personal injury process or experience in a PI medical or legal setting
- Strong verbal and written communication skills — comfortable communicating with patients and legal professionals
- Excellent organizational skills with the ability to manage multiple cases simultaneously
- High attention to detail and commitment to maintaining patient confidentiality
- Bilingual (English & Spanish)
- Proficiency in Microsoft 365 and ability to learn practice management or case management systems
- Ability to work independently and as part of a collaborative team
- Knowledge of HIPAA regulations and experience handling sensitive patient information
Salary and Benefits
$50,000 - $60,000 - Salary range based on experience, Monthly bonus opportunity
