Job Summary: The Executive Assistant will be responsible for a variety of tasks related to real estate listings, communications, marketing, and office management.
Key Responsibilities:
· Document Preparation, Data Entry, and Filing:
o Rental Listings:
§ Create Residential Management Agreements and other necessary forms.
§ Establish an electronic file for each property.
§ Input MLS listings and photos.
§ Input ShowingTime-Showings instructions.
§ Input and maintain ALL weekly real estate/property advertisements.
§ Input and monitor other marketing/advertising systems.
§ Create Lease Agreements and pertinent addendums.
§ Create and maintain a contact management database for owners, tenants, vendors and other pertinent relevant parties.
§ Enter pertinent data into Rent Manager Software System.
o Sales Listings:
§ Create Listing Agreements and all other necessary forms/documents.
§ Create an electronic files for ALL properties.
§ Input MLS listings, photos, and other required forms.
§ Submit required paperwork to the Company database and oversee data entry in Zip Forms, Dropbox and the Rent Manager Software System.
§ Input ShowingTime instructions.
§ Input and monitor all marketing/advertising systems.
· Communications, Scheduling, and Filing:
o Oversee and coordinate owners' calendars and scheduling.
o Maintain regular communication with property owners and tenants.
o Oversee and schedule ALL Service Request / Maintenance Request.
o Oversee the Master Lease Calendar.
· Property and Business Marketing:
o Oversee marketing systems for both the business and individual properties.
· Office Supplies and Equipment Oversight:
o Order, maintain, and inventory office supplies.
o Manage business supplies such as signs and lockboxes.
o Handle marketing and advertising supplies.
Required Skills and Qualifications: The successful applicant must possess:
· Exceptional interpersonal, organizational, and communication skills.
· Integrity, respect for confidentiality along with sound judgment.
· Computer Proficiency must include Apple-iMac systems, Windows operating systems and Microsoft Office Suite (Word, Excel, Publisher).
· Typing skills of 50 WPM.
· Strong time management and organizational skills.
· The ability to quickly and accurately assess the importance of customer emails, text messages or phone calls and take appropriate action.
· Initiative and the ability to work independently with little guidance or oversight.
· Outstanding customer service skills and proper telephone etiquette.
· Outstanding oral and written communication skills.
