STUDIO OPERATIONS MANAGER
Full-Time | Hybrid (~50% in-studio / 50% remote) | Bethesda, MD | $45,000–$60,000/year, DOE
About Unity Dance & Movement
Unity Dance and Movement is a woman-owned, woman-led dance studio offering inclusive, student-centered dance education for dancers of all ages and levels, from toddlers to adults. We're passionate about helping our students find joy, curiosity, and confidence through movement. We're looking for an organized, personable, and proactive Studio Operations Manager to be the operational backbone of our studio family.
Position Overview
The Studio Operations Manager keeps Unity running smoothly behind the scenes and welcomes our community warmly in front of house. This role oversees front desk operations and staff, client registration and billing, studio scheduling, costume and attire logistics, and the coordination of our two annual youth showcases. The ideal candidate is a confident multitasker who thrives on systems, communicates clearly with families and faculty, and genuinely enjoys being part of a dance community.
Key Responsibilities
Front Desk & Client Operations
- Hire, train, schedule, and oversee front desk staff as studio ambassadors, fostering a welcoming, accountable, and high-performing team culture.
- Manage the client registration process, including new student enrollment, account setup, and ongoing account maintenance.
- Oversee accounts receivable: invoicing, payment processing, follow-up on past-due accounts, and reconciliation in coordination with the studio's bookkeeping/finance process.
- Serve as the studio's central communications hub: monitor incoming calls, emails, and messages, and route inquiries to the appropriate staff member (instructors, ownership, marketing, etc.) in a timely manner.
- Proactively identify operational improvements and implement systems that enhance the studio experience for staff, instructors, and families.
Scheduling & Studio Use
- Maintain and update the studio's master schedule, including class times, studio rentals, and private lesson bookings.
- Coordinate substitute teachers when faculty are unavailable, ensuring classes are covered with minimal disruption.
- Manage studio rental inquiries and bookings, including logistics, contracts/payment, and day-of coordination as needed.
Youth Showcase Coordination (2x/year)
- Own end-to-end logistics for two annual youth showcases, including venue coordination, run-of-show, and scheduling.
- Serve as the primary point of contact for client families regarding showcase information, deadlines, and logistics.
- Recruit, organize, and communicate with parent/family volunteers for showcase-related needs (backstage, check-in, front-of-house, etc.).
- Coordinate with faculty on choreography timelines, rehearsal scheduling, and performance-day needs.
Costume & Class Attire Coordination
- Coordinate the full costume/attire lifecycle: collecting student measurements, placing and tracking orders, organizing fittings, and managing distribution.
- Communicate costume timelines, sizing details, and costs clearly to families.
- Track inventory and troubleshoot sizing or order issues as they arise.
Marketing & Lead Generation Support
- Coordinate with Unity's lead generation and marketing team/vendors to support enrollment campaigns and ensure front desk messaging aligns with current promotions.
- Relay prospective-student inquiries and trends from the front desk to the marketing team to inform outreach.
Qualifications
- Experience in dance studio, performing arts, or similar arts/youth program administration strongly preferred.
- Prior experience in office management, operations, or customer-facing administrative roles.
- Excellent written and verbal communication skills; comfortable as the primary point of contact for parents, students, and faculty.
- Strong organizational skills with the ability to manage multiple ongoing projects (registration, scheduling, showcases, costumes) simultaneously.
- Comfortable with studio management/scheduling software (e.g., StudioPro and Go High Level) and standard office tools (email, spreadsheets, shared calendars).
- Experience coordinating volunteers or event logistics is a strong plus.
- Friendly, patient, and professional demeanor; genuine enjoyment of working with children, families, and a creative arts community.
- Ability to work some evenings and weekends, particularly around showcase dates and seasonal registration periods.
Schedule & Work Environment
This is a full-time, hybrid role, with time split roughly evenly between in-studio presence (front desk coverage, fittings, rehearsals, and showcases) and remote work (registration, scheduling, communications, and vendor coordination). Some evening and weekend availability is required around showcase season and studio events.
Compensation & Benefits
Salary range: $45,000–$60,000/year, commensurate with experience.
