Plumbing Document Control Coordinator
Brian Trematore Plumbing & Heating, Inc. is seeking a highly organized, detail-oriented Plumbing & Mechanical Document Control Coordinator to support our Project Management and construction teams.
This position is ideal for someone who understands the importance of keeping construction documentation accurate, current, organized, and moving. You will work closely with Project Managers, Superintendents, Foremen, BIM/Coordination staff, General Contractors, engineers, architects, vendors, and other members of the project team.
Previous experience in plumbing, mechanical, MEP, or construction is required.
Responsibilities
- Serve as the primary point of contact for document control functions related to plumbing & mechanical construction projects.
- Organize, maintain, track, and distribute project documentation.
- Maintain current and archived electronic and hard-copy project files.
- Process, log, track, and distribute RFIs, Submittals, Change Orders, ASIs, Bulletins, Meeting Minutes, Shop Drawings, Product Data, Specifications, and other project documents.
- Maintain accurate RFI, Submittal, Change Order, and document tracking logs.
- Proactively follow up on outstanding RFIs, submittals, approvals, and other documentation to help prevent project delays.
- Review incoming drawings and specifications and ensure the most current revisions are available to the appropriate Project Managers, field personnel, and BIM/Coordination team.
- Maintain proper drawing revision and version control and archive superseded documents appropriately.
- Download, upload, organize, and distribute drawings, specifications, sketches, addenda, and other project information.
- Coordinate document flow between General Contractors, architects, engineers, vendors, subcontractors, consultants, and internal project teams.
- Assist Project Managers with plumbing and mechanical product submittals, shop drawings, fixture submissions, equipment documentation, and material approvals.
- Track plumbing and mechanical submittals and approvals for fixtures, equipment, pumps, water heaters, piping materials, valves, drains, specialties, and other project-specific materials.
- Identify missing documentation, outstanding approvals, or unanswered RFIs and bring them to the attention of the appropriate Project Manager.
- Ensure project documentation is complete, properly labeled, accurately filed, and submitted within required deadlines.
- Upload and maintain documentation within company software platforms, shared drives, and General Contractor project management systems.
- Assist with documentation and backup related to Change Orders and additional work.
- Maintain important project correspondence, approvals, directives, and communications.
- Coordinate with the BIM/Coordination Department to ensure current drawings, approved submittals, and project information are available for coordination and fabrication.
- Assist with documentation related to inspections, testing, permits, and project closeout requirements.
- Assemble and organize O&M Manuals, warranties, approved submittals, equipment information, as-built drawings, and final turnover packages.
- Track required closeout documentation and follow up with vendors, Project Managers, and field personnel for outstanding information.
- Assist with meeting agendas, meeting minutes, project reports, and follow-up items when necessary.
- Support multiple plumbing projects simultaneously while maintaining accuracy and meeting deadlines.
- Provide additional administrative and project support to the Plumbing Project Management Department as needed.
Qualifications
- Experience in plumbing, mechanical, MEP, construction document control, or project coordination required.
- Familiarity with construction terminology, drawings, specifications, submittals, RFIs, Change Orders, and shop drawings.
- Ability to read and navigate plumbing and mechanical drawings.
- Exceptional organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage a large volume of documents across multiple active projects.
- Ability to recognize drawing revisions and ensure the correct documents are being distributed and used.
- Strong written and verbal communication skills.
- Ability to prioritize multiple projects and deadlines in a fast-paced construction environment.
- Must be comfortable following up with others and staying on top of outstanding items until they are completed.
- Proficiency in Microsoft Outlook, Word, Excel, and Adobe Acrobat.
- Experience with construction management/document control software is preferred.
- Experience with Autodesk Construction Cloud (ACC), Revit, Navisworks, Procore, Bluebeam, or similar platforms is a plus.
- Professional, dependable, and able to work both independently and as part of a team.

We are looking for someone who is proactive—not simply someone who files documents after receiving them.
The right person will take ownership of the document control process, know what is outstanding, follow up when information or approvals are missing, and make sure our Project Managers and field teams have the most current information they need to keep projects moving.
You should be comfortable working in a busy plumbing construction environment where priorities can change quickly and several projects may require your attention at the same time.
Accuracy, follow-through, communication, and organization are critical to this position.
