We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! Duties
- Oversee daily office operations, including front desk management and multi-line phone systems to ensure seamless communication.
- Greet visitors, answer inquiries, and provide exceptional customer service with professional phone etiquette.
- Manage appointment scheduling, calendar coordination, and meeting arrangements for staff and clients.
- Maintain accurate financial records using QuickBooks and other accounting software; handle data entry, invoicing, billing, and expense tracking.
- Perform clerical tasks such as filing, proofreading documents, and managing correspondence to support administrative functions.
- Support bookkeeping activities including bank reconciliations, payroll processing, and financial reporting.
- Organize office supplies inventory, manage filing systems (digital and physical), and ensure the office environment is efficient and welcoming.
Skills
- Proficiency in QuickBooks accounting software and Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
- Excellent computer literacy including data entry, Google Workspace tools (Docs, Sheets), and general office management software.
- Exceptional customer service skills with experience in front desk operations or as a receptionist; familiarity with dental or medical receptionist duties is a plus.
- Bilingual abilities are highly desirable to serve diverse clients and team members effectively.
- Demonstrated experience in clerical work such as filing, proofreading, calendar management, and time management.
- Knowledge of phone etiquette and multi-line phone systems to handle calls professionally.
- Personal assistant or administrative experience that showcases strong organizational skills and attention to detail.
