JOB TITLE: Clinical Administrative Assistant
CONTRACT DURATION: 13 weeks to Start – Possibility of extension or conversion based on attendance, performance, and facility need, etc.
LOCATION: Cleveland, Ohio | Onsite
PAY: 17-20/hr
SHIFT: Full Time | Monday–Friday | 8:00 AM – 5:00 PM
ONBOARDING TIME: Expect 2–3 weeks between offer to start date
Job Description and Requirements:
The Clinical Administrative Assistant serves as a key point of contact for patients, physicians, nurses, and clinical staff within a fast-paced specialty practice. This role supports daily clinical operations by managing patient communications, coordinating referrals, maintaining physician schedules, and providing comprehensive administrative support.
The ideal candidate is highly organized, customer-focused, and experienced working in a healthcare environment with electronic medical records and multiple competing priorities.
Key Responsibilities:Patient & Clinical Support
· Serve as the primary point of contact for patients, families, referring providers, and internal departments
· Manage high-volume incoming phone calls, EPIC communications, MyChart messages, and patient inquiries
· Coordinate internal and external referrals while ensuring timely follow-up
· Manage external medical records, including requesting records, following up with outside facilities, and uploading documentation and images into EPIC
· Document patient communications accurately and route information to the appropriate clinical staff
· Initiate pending orders, laboratory requests, and other provider-directed administrative tasks
· Manage physician clinic schedules, reconcile scheduling errors, and optimize appointment availability
· Collect insurance information and coordinate with Patient Financial Advisors as needed
· Assist patients with virtual appointment check-in and navigation
· Monitor referral work queues and support ongoing patient care coordination
Administrative Support
· Respond to provider emails and coordinate out-of-office coverage
· Manage referral correspondence and departmental communications
· Schedule meetings, coordinate travel arrangements, process reimbursements, and assist with provider recertification and licensure renewals
· Provide basic IT assistance and troubleshooting support
· Coordinate department events and meetings
· Manage incoming mail and departmental correspondence
· Record and transcribe meeting minutes
· Support additional administrative projects and operational initiatives as assigned
Job Requirements:
· High School Diploma or GED required
· Minimum 3 years of administrative assistant experience in a professional setting required
· Associate's or Bachelor's degree may substitute for two years of experience
· Experience using Electronic Medical Records required
· Willingness to complete EPIC training during the first year
· Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
· Strong written and verbal communication skills
· Excellent organizational, multitasking, and customer service skills
· Ability to manage multiple priorities in a fast-paced clinical environment
· Strong attention to detail and documentation accuracy
Preferred Qualifications:
· Associate's Degree
· Previous healthcare or medical office experience
· Experience with EPIC EHR
· Typing proficiency with a high degree of accuracy
· Experience supporting physicians or specialty clinic operations
Requirements (due at time of phone screen with recruiter):
· Resume with last seven years of work history if applicable - all work history gaps of 90+ days must be explained
· Upcoming requested time off for the duration of the contract
· Interview availability for the next 7–10 days
· Successful completion of any required online skills assessment
