Full-Charge Bookkeeper / Accounting & HR Administrator

About Us
We are a well-established, fast-paced event planning company with approximately $5 million in annual revenue. We are seeking an experienced, highly organized, and detail-oriented Full-Charge Bookkeeper who can take ownership of our day-to-day financial operations while supporting payroll, human resources administration, budgeting, forecasting, and coordination with our outside CPA firm.
This is a key leadership support position for someone who enjoys working independently, improving processes, and helping management make informed business decisions.
Position Summary
The Full-Charge Bookkeeper will be responsible for managing the company's accounting function from transaction entry through month-end close while serving as the primary internal resource for payroll administration, HR documentation, budgeting, financial reporting, and coordination with external tax accountants.
The ideal candidate is proactive, organized, technology savvy, and capable of handling multiple priorities with minimal supervision.
The salary range is $65,000 to $75,000
Primary Responsibilities
Accounting & Bookkeeping
- Maintain the general ledger and chart of accounts
- Process accounts payable and accounts receivable
- Perform bank, credit card, and balance sheet reconciliations
- Record journal entries and month-end adjustments
- Prepare monthly financial statements
- Maintain fixed asset schedules
- Manage cash flow reporting
- Maintain accurate accounting records and supporting documentation
- Assist ownership with financial analysis and reporting
- Improve accounting procedures and internal controls
Payroll & Benefits
- Process payroll accurately and timely
- Maintain payroll records
- Coordinate payroll tax filings with payroll provider
- Administer employee benefits and deductions
- Maintain PTO and employee leave records
- Assist with workers' compensation reporting
Budgeting & Forecasting
- Prepare annual budgets
- Update rolling cash flow forecasts
- Assist management with financial projections
- Monitor actual results versus budget
- Identify trends and provide financial insights
Human Resources Administration
- Maintain employee personnel files
- Coordinate employee onboarding and offboarding
Tax & CPA Coordination
- Serve as primary contact with outside CPA firm
- Prepare year-end workpapers
- Coordinate information required for tax returns
- Assist with annual financial reviews
- Maintain supporting schedules for tax reporting
- Respond to requests from tax advisors and auditors
Administrative & Operational Support
- Assist ownership with special projects
- Improve financial and administrative systems
- Maintain accounting software and reporting tools
- Recommend efficiencies and process improvements
Qualifications
- 5+ years of full-charge bookkeeping experience
- Experience managing accounting for a small to mid-sized business ($3M-$20M revenue preferred)
- Strong understanding of GAAP and accrual accounting
- Payroll processing experience
- Experience preparing monthly financial statements
- Budgeting and forecasting experience
- HR administrative experience
- Experience coordinating with outside CPA firms
- Advanced Excel skills
- Experience with QuickBooks (Desktop or Online) or similar accounting software
- Strong organizational and communication skills
- Ability to work independently while supporting management
Preferred Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, or Business
- Certified Bookkeeper or similar credential
- Experience in event planning, hospitality, professional services, or project-based businesses
- Experience implementing accounting process improvements
