We're hiring the person who keeps the whole office running. Phones answered, appointments booked, orders out the door, nothing slipping through the cracks. You'll work fast and live on the computer, bouncing between calls, scheduling, and customer records all day. Most of our team specializes in one part of the process, but everyone pitches in, so you have to be comfortable on the phone and ready for whatever the day brings. We'll teach you our software. You bring the tech sense, the steady hands, and the eye for detail.

What you'll do
Front desk and customers
- Answer the web phone and greet walk-in customers, keeping the office professional and welcoming
- Handle calls, emails, and messages, and route them to the right person
- Answer customer questions about orders, timelines, and next steps
- Follow up with customers to confirm appointments and keep them in the loop
- Help resolve concerns and turn a frustrated caller into a happy one
Scheduling and coordination
- Schedule customer appointments and manage calendars for key staff
- Coordinate with installers, technicians, and field staff so the schedule actually works
- Reschedule and adjust appointments when plans change, and notify everyone affected
- Help plan and coordinate company events, both in-house and outside
Orders and project tracking
- Enter and process customer orders accurately and on time
- Track each order from sale to install and document project status along the way
- Flag delays, missing items, or anything that could slow an order down
- Work with the production and logistics teams to keep orders moving
- Place orders with vendors and follow up on shipments and backorders
Records and reporting
- Keep files, customer records, and documentation organized and current
- Update the system so anyone can see where a job stands at a glance
- Prepare reports, spreadsheets, and presentations as needed
- Keep digital records clean and easy to find
Office and finance support
- Order office supplies and coordinate with vendors to keep things stocked and running
- Handle basic finance tasks like invoicing, collecting payments, expense tracking, and reconciliation
- Help keep financial records accurate and up to date
- Pitch in on other tasks as they come up
What we're looking for
- High school diploma or equivalent
- Administrative, office support, or customer service experience preferred
- Able to work a computer efficiently and multitask across several programs at once. A typical stretch might mean answering a web phone, scheduling a customer appointment, and documenting project status all in the same few minutes.
- Comfortable with Google Workspace (Docs, Sheets, Chat) and quick to learn new software
- Willing and able to talk with customers on the phone and in person
- Strong written and verbal communication
- Organized and detail-oriented, able to handle competing priorities without dropping any
- Calm and professional when the office gets busy or plans change
- Dependable, takes initiative, and works well with a team
Schedule
- Monday to Friday, 8:00 AM to 4:30 PM
- Rare evenings or weekends for company events or special projects
- Occasional annual travel for team training or celebrations
Physical requirements
- Sit, stand, and walk throughout the workday
- Lift and carry up to 20 lbs as needed
- Operate standard office equipment (computer, phone, printer, copier, filing systems)
