Position Summary
W.E. Bowman Construction is seeking an entry-level Commercial Construction Project Administrator to support Project Managers, Superintendents, and other members of the project team throughout all phases of commercial construction. This position helps keep projects organized by maintaining documentation, coordinating communication with subcontractors and vendors, tracking required information, and supporting day-to-day project administration. Prior commercial construction experience is helpful but not required. The ideal candidate is organized, dependable, detail-oriented, and interested in building a career with a commercial general contractor.
Key ResponsibilitiesProject Administration & Document Control
- Provide administrative support to Project Managers, Superintendents, and project teams.
- Set up and maintain electronic project files and folders according to company procedures.
- Maintain project contact lists, subcontractor information, drawing logs, specification files, and other project records.
- Upload, organize, distribute, and file project drawings, specifications, addenda, revisions, and other construction documents.
- Assist with meeting agendas, meeting minutes, action-item tracking, and follow-up.
- Enter and maintain information in company project management systems.
Subcontractor & Vendor Coordination
- Assist with preparing and distributing subcontracts, purchase orders, and other project documents.
- Communicate with subcontractors and vendors to obtain required paperwork and project information.
- Track subcontract agreements, certificates of insurance, W-9s, licenses, and other required documentation.
- Maintain subcontractor and vendor contact information and follow up on outstanding items as directed.
RFIs & Submittals
- Assist with the preparation, distribution, and tracking of Requests for Information (RFIs).
- Maintain RFI and submittal logs and monitor outstanding items.
- Route subcontractor submittals to the appropriate project team members, architects, and consultants for review.
- Distribute approved submittals and responses to subcontractors and field personnel.
Change Orders & Project Cost Documentation
- Assist Project Managers with maintaining change-order and potential change-order logs.
- Collect and organize subcontractor proposals and supporting documentation for potential changes.
- Assist with preparation and distribution of subcontractor change orders and purchase-order changes.
- Maintain organized records of approved and pending changes.
Billing & Accounting Support
- Assist with collecting subcontractor invoices and payment applications.
- Track required lien waivers/releases, insurance documentation, and other payment-related paperwork.
- Help gather supporting documentation for monthly owner billing.
- Coordinate with Project Managers and accounting personnel to resolve missing or incomplete documentation.
Project Startup & Closeout
- Assist with setting up new projects in company systems and establishing project files.
- Help collect required startup documentation from subcontractors and vendors.
- Maintain project closeout checklists throughout construction.
- Collect warranties, operation and maintenance manuals, as-built drawings, training documentation, and other closeout materials.
- Follow up with subcontractors for outstanding closeout documents and assist with assembling final closeout packages.
Qualifications
- Education - High School Diploma or GED required.
- Associate's or Bachelor's degree in Construction Management, Business Administration, Project Management, Logistics or a related field preferred but not required.
Experience
- 0-2 years of administrative, project coordination, construction, or related experience.
- Previous experience with a general contractor, subcontractor, architecture/engineering firm, or other construction-related organization is a plus but not required.
Technical Skills
- Basic proficiency with Microsoft Outlook, Word, and Excel.
- Experience with Procore, Sage, Bluebeam, Autodesk Construction Cloud, or similar construction software is a plus; training can be provided.
- Ability and willingness to learn commercial construction terminology, drawings, specifications, and project documentation.

Work Environment
- Primarily office-based with occasional visits to active commercial construction sites and project meetings.

- When visiting project sites, ability to walk uneven surfaces and comply with required jobsite safety procedures and personal protective equipment requirements.

In accordance with Virginia Senate Bill 215 (SB 215), the base salary range for this position is:
$50,000 - $75,000
Compensation in other cities and states may vary. W.E. The determination of salary is based on the candidate's individual professional experience, qualifications, education, skills, and training.
