LifeLine Pilots is seeking a highly organized and detail-oriented Office Administrator who is passionate about supporting nonprofit work. In this role, you will play a key part in the day-to-day operations of the organization, contributing to bookkeeping, fundraising efforts, and overall office coordination while supporting a dedicated team and our volunteer network.
Candidate Attributes:
- Demonstrates excellent organizational skills with ability to manage multiple tasks & deadlines
- Maintains confidentiality and has good judgment when managing sensitive information
- Provides excellent customer service to passengers, pilots, volunteers, and donors
Key responsibilities include:
- Manage all organizational bookkeeping, including daily, weekly, and monthly reconciliations in QuickBooks
- Process financial transactions, including depositing checks and maintaining bank accounts
- Create and update donor records, perform database searches, and produce donor thank you letters
- Provide administrative support for grant activities and fundraising stewardship efforts
- Answer phone calls, greeting callers professionally, fielding inquiries, and assisting with passenger intake
- Work with volunteers to provide support and recognition for their work
- Support flight coordination staff, providing administrative support as needed
- Coordinate post office activities, mass mailings, and shipping needs
- Order office and operational supplies as needed
- Maintain organization and cleanliness of storage areas
- Perform other tasks or special projects as assigned
Knowledge & Experience:
- Proven experience as bookkeeper, office administrator, or office coordinator, or in another relevant administrative role, with 2+ years of experience
- Experience with QuickBooks and financial recordkeeping (required)
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and database systems
- Excellent interpersonal, verbal, and written skills
- Effective organizational, time management, planning, and problem-management skills
- Ability to work independently while also collaborating effectively with a team
- Associate degree preferred

Pay: $19.00 - $23.00 per hour
