Key Responsibilities
- Write detailed, accurate stories in service work orders to clearly document customer issues, repairs, and resolutions.
- Verify Jobs are Open, Parts and Labor Added and closed when complete
- Verify technician time entries per Job and for payroll accuracy and billing compliance, resolving any discrepancies promptly.
- Process warranty claims efficiently, including gathering required documentation, submitting to manufacturers, and tracking approvals.
- Maintain service department files, both digital and physical, ensuring organization, compliance, and easy retrieval.
- Assist with general administrative tasks, such as data entry, scheduling support, and generating reports for the General Manager.
- Collaborate with service advisors, technicians, and parts staff to support daily operations and improve department efficiency.
Qualifications
- High school diploma or equivalent; associate's degree in business administration or related field preferred.
- 1-2 years of administrative experience, ideally in automotive, construction equipment, or service environments.
- Strong computer skills, including proficiency in Microsoft Office (Excel, Word). - Dealership management software experience a plus (e.g., CDK or similar).
- Excellent attention to detail, organizational skills, and ability to multitask in a fast-paced setting.
- Effective written and verbal communication skills for clear documentation and team coordination.
- Knowledge of warranty processes or service workflows is a plus; willingness to learn OEM-specific systems required.
