The Front Desk Coordinator serves as the first point of contact for our organization, creating a welcoming and professional environment for all visitors, callers, and applicants. This role is responsible for managing incoming telephone calls, greeting guests, and coordinating the caregiver application process, including booking and initial processing. Additional administrative responsibilities include scanning, copying, filing and supporting general office operations to ensure smooth day-to-day functioning.
Responsibilities:
- Welcomes guests and customers in a friendly and professional manner both in person and over the phone.
- Assist customers by promptly answering, screening, and directing inquiries in a courteous and efficient manner.
- Maintains customer confidence (HIPAA) and protects operations by keeping information confidential.
- Front desk responsibilities which include, but may not be limited to: Monitor forwarding and unforwarding of Union office reception phone, Take Phone Script Calls/ Book Incoming Applicants/ Reschedule Applicants, Take Client Application Calls and send prompt text notification to Sales Reps, Make Confirmation Calls for next-day Applicant interview appointments
- Handle glove requests from caregivers and set up Uber deliveries as needed.
- Maintain an organized and stocked front desk area with necessary folders, documents, and timesheets.
- Add entries to the Do Not Hire (DNH) Database as directed by the HR Department
- Maintain copier and postage machine
- Monitor the fax machine, distribute incoming faxes, and empty the shredder when necessary.
- Perform various administrative tasks to support daily office operations as assigned
Minimum Qualifications:
- High school diploma or GED
- Prior experience working in an office environment, preferably home care.
- Proficiency in computer skills: Outlook, Word, Excel, and Google Docs
- Good organizational skills and ability to meet deadlines
- Good listening and communication skills; able to follow directions
- Ability to be interrupted and multitask assignments
