We are seeking an energetic, organized, and customer-focused Intake Specialist who is passionate about providing outstanding service while supporting the growth of our spa.
Position Summary
The Intake Specialist is the first impression of Prime IV and plays a critical role in creating an exceptional client experience. This position combines front desk operations, client engagement, membership sales, marketing support, inventory management, and administrative responsibilities.
The ideal candidate is highly organized, technology savvy, enjoys interacting with people, and is motivated by achieving goals in a fast-paced wellness environment.
Primary ResponsibilitiesClient Experience
- Welcome every client with a warm, professional, and engaging attitude.
- Create an exceptional first impression that reflects the Prime IV luxury experience.
- Check clients in efficiently and prepare them for their wellness consultation.
- Answer incoming phone calls with professionalism and enthusiasm.
- Schedule appointments using Prime IV scheduling software.
- Follow up with prospective and existing clients.
- Assist with client check-out and payment processing.
Membership & Sales
- Educate clients on Prime IV memberships and wellness packages.
- Present membership options confidently and professionally.
- Meet and exceed membership conversion goals.
- Promote retail products and wellness services.
- Assist with promotional campaigns and special offers.
Marketing & Business Development
- Support local marketing initiatives and community outreach.
- Assist with social media content and promotional events.
- Build relationships with local businesses and referral partners.
- Help coordinate wellness events and community marketing activities.
- Collect and encourage client reviews and testimonials.
Administrative & Office Operations
- Maintain accurate client records.
- Process payments and daily reconciliation.
- Assist with billing, collections, and outstanding account follow-up.
- Prepare reports using Microsoft Excel.
- Analyze client activity and membership trends.
- Track key performance indicators and business metrics.
Inventory Management
- Perform daily and weekly inventory counts.
- Monitor medical supplies and retail inventory.
- Receive inventory shipments.
- Maintain organized storage areas.
- Report inventory discrepancies and reorder needs.
QualificationsRequired
- Minimum 2 years of customer service or front desk experience.
- Excellent verbal and written communication skills.
- Strong telephone etiquette.
- Strong computer proficiency.
- Experience with Microsoft Office, particularly Excel.
- Ability to learn scheduling and point-of-sale software quickly.
- Excellent organizational and multitasking skills.
- Professional appearance and positive attitude.
- Ability to thrive in a fast-paced environment.
Preferred
- Medical office or healthcare experience.
- Experience in medical spas, wellness clinics, hospitality, or luxury retail.
