Volunteers of America Delaware Valley is seeking a professional and organized Receptionist/Office Manager to support the Administration/Office of the President and CEO. This position serves as the first point of contact for visitors, staff, and community partners while providing essential administrative support to ensure the smooth operation of the executive office.
The Receptionist/Office Manager plays a key role in maintaining an efficient, professional, and welcoming workplace by managing front office operations, coordinating administrative tasks, supporting executive leadership, and assisting departments across the organization.

Salary: $50,000 per year with benefits
What You'll Do:
- Serve as the first point of contact by welcoming visitors, answering incoming calls, and directing inquiries to the appropriate departments or staff members.
- Provide professional and courteous communication with clients, employees, vendors, and external partners while maintaining confidentiality.
- Manage incoming and outgoing mail, including date stamping, sorting, and distributing correspondence to appropriate departments.
- Maintain office supply inventory by monitoring stock levels, ordering supplies, and ensuring office areas remain organized and well maintained.
- Maintain a clean, safe, and professional reception area and assist with overall office organization.
- Coordinate and support administrative meetings, including scheduling, preparing materials, and assisting with meeting logistics.
- Facilitate monthly Administrative Staff meetings and provide support with meeting preparation.
- Assist with the preparation of memorandums, reports, letters, and other administrative documents.
- Support Human Resources with clerical functions, including paperwork processing and onboarding tasks.
- Maintain office equipment, including phone systems, computers, printers, postage equipment, and other administrative resources.
- Assist with preparation for Board and Committee meetings by organizing reports, preparing board packets, maintaining meeting materials, and taking minutes as needed.
- Maintain and update filing systems and ensure accurate recordkeeping of administrative documents.
- Support executive office activities, including expense reporting, check requests, fundraising event support, and organizational projects.
- Assist with employee engagement activities, including annual holiday luncheons and special events.
- Coordinate conference rooms and ensure meeting spaces are prepared, organized, and properly stocked.
- Communicate with vendors regarding office maintenance, janitorial services, and facility concerns.
- Assist with updating organizational documents, board materials, and required online systems.
- Provide administrative support to the Office of the CEO, COO, and other departments as needed.
What You Need:
- High School Diploma or GED required.
- Previous administrative, receptionist, or office management experience preferred.
- Experience working in a human services environment is a plus.
- Strong verbal and written communication skills.
- Excellent organizational skills with the ability to manage multiple priorities and deadlines.
- Professional demeanor and ability to interact effectively with staff, clients, visitors, and community partners.
- Knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Ability to operate basic office equipment.
- Strong attention to detail and ability to maintain confidentiality.
- Ability to work independently while supporting a collaborative team environment.
