The Dog Palace is a premier dog daycare, boarding, grooming, and training facility dedicated to providing exceptional care for dogs and outstanding customer service for their owners. We are looking for a friendly, organized, and dependable Front Office Coordinator to be the welcoming face of our facility.
This position is ideal for someone who loves both people and dogs, thrives in a fast-paced environment, and enjoys keeping operations running smoothly.
Responsibilities
- Greet clients and their dogs in a professional and welcoming manner
- Answer incoming phone calls, emails, and client inquiries
- Schedule and manage daycare, boarding, grooming, training, and evaluation appointments
- Process check-ins and check-outs efficiently and accurately
- Collect and verify vaccination records and contact veterinary offices as needed
- Maintain accurate client and pet records within our management software
- Handle payments, invoices, and daily transactions
- Assist clients with questions regarding services, policies, and recommendations
- Monitor facility capacity and coordinate scheduling needs
- Manage inventory and notify management of low stock levels
- Maintain a clean, organized, and professional lobby and front office area
- Assist with light dog handling, including safely escorting dogs to and from daycare, boarding, grooming, and training areas
- Support kennel staff during slower periods by assisting with cleaning, laundry, dishes, organizing supplies, and general facility upkeep
- Follow all safety protocols when handling dogs
- Communicate effectively with team members to ensure seamless daily operations
- Assist with administrative projects, filing, and other duties as assigned
Qualifications
- Previous customer service, receptionist, veterinary, kennel, daycare, or pet industry experience preferred not required
- Comfortable handling dogs of various sizes, breeds, and temperaments
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Ability to remain calm and professional in a busy environment
- Reliable, punctual, and detail-oriented
- Basic computer proficiency and ability to learn scheduling software
- Ability to work independently and as part of a team
- Must be able to stand, walk, bend, lift up to 50 pounds, and remain active throughout the shift
