Position Summary
The Project Coordinator is responsible for coordinating the successful implementation, startup, and ongoing support of the Petrochem and Lubes operations at the Pasadena Laboratory, including the onsite laboratory located at the Vopak terminal. This role serves as the primary coordinator between laboratory operations, project teams, customers, vendors, and internal support functions to ensure projects are completed safely, on schedule, and within budget.
The Project Coordinator will oversee project timelines, facilitate communication among stakeholders, track deliverables, coordinate equipment installation and laboratory readiness activities, and support the transition from project implementation to routine operations. This position plays a critical role in supporting the strategic growth of the Pasadena Laboratory while maintaining operational excellence, quality, and customer satisfaction.
Minimum Requirements
- High School Diploma or equivalent required.
- 3–5 years of experience in project coordination, project management, laboratory operations, industrial services, petrochemical operations, or a related technical environment.
- Experience supporting laboratory startups, facility expansions, or operational improvement projects is preferred.
- Experience coordinating multiple projects simultaneously in a fast-paced environment.
- Ability to multitask and prioritize in a fast-paced environment.
- Detail-oriented with strong organizational skills.
- Ability to work under pressure and adapt to changing priorities.

- Coordinate all activities associated with the startup and deployment of Petrochem and Lubes laboratory services.
- Support the implementation and operational readiness of the onsite laboratory at the Vopak terminal.
- Develop and maintain project schedules, milestones, and action item trackers.
- Coordinate cross-functional activities involving Laboratory Operations, Quality, IT, Procurement, Engineering, Facilities, Safety, Human Resources, and Business Development.
- Monitor project progress and proactively identify schedule risks, resource constraints, and potential delays.
- Coordinate laboratory equipment procurement, installation, qualification, and commissioning activities.
- Assist with laboratory layout planning, workflow development, and operational readiness initiatives.
- Coordinate customer onboarding activities and support project communications with internal and external stakeholders.
- Schedule and facilitate project meetings, prepare meeting agendas, document meeting minutes, and track action items through completion.
- Maintain project documentation, status reports, budgets, and implementation records.
- Support implementation of laboratory quality systems, standard operating procedures (SOPs), and regulatory compliance requirements.
- Assist leadership with staffing coordination, training schedules, and startup planning.
- Monitor project budgets and expenditures while identifying opportunities for cost savings and improved efficiency.
- Prepare regular project status reports for laboratory leadership and executive management.
- Ensure project activities comply with company safety policies, quality standards, and applicable regulatory requirements.
- Perform additional duties assigned in support of laboratory operations and strategic initiatives.

Fitness for Duty – Physical Demands
- Ability to work in both office and laboratory environments.
- Occasional travel between laboratory facilities and customer locations.
- Ability to walk to laboratories and industrial sites, including climbing stairs and wearing required personal protective equipment (PPE).
- Ability to lift up to 25 pounds occasionally.
Monday – Friday. 8-hour shifts
