POSITION SUMMARY:
The Estate & Trust Administration Specialist supports attorneys and clients throughout all aspects of estate and trust administration. This role is responsible for gathering and organizing estate and trust information, preparing probate and non-probate transfer documents, assisting with asset transfers and trust funding, and preparing inventories, accountings, tax returns, deeds, and other related documentation. The Specialist will maintain regular communication with beneficiaries and other parties, manage client files and account information, and work collaboratively with attorneys and team members to ensure matters are handled accurately, efficiently, and with a high level of client service.
KEY RESPONSIBILITIES:
- Collect information related to estates and trusts, probate and non-probate assets, date of death asset values, and determining any marital property interests.
- Prepare probate court forms and non-probate transfer forms.
- Maintain communications with beneficiaries and assist in filing documentation for asset transfers and claim forms for life insurance and retirement benefits.
- Prepare and file gift tax returns and estate tax returns.
- Prepare inventories and accountings for estates and trusts.
- Prepare real estate deeds and accompanying real estate transfer returns.
- Assist with funding trusts.
- Review account statements and maintain client files.
- Prepare basic loan instruments.
QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- Prior estate and trust administration experience and working knowledge of Wisconsin probate court procedures preferred.
- Bachelor’s Degree preferred.
- Paralegal certificate from an ABA accredited program preferred.
- Prior experience filing complex Federal estate tax returns preferred.
- Proficiency in MS Office Suite, ProSystem Fx Tax, E.V.P., Simplifile, and Wisconsin Circuit Court efiling preferred.
- Ability to effectively communicate orally and written and provide exceptional service to all internal and external clients.
- Strong interpersonal skills.
- Ability to work collaboratively within a team and adapt to different work styles.

- Highly organized and able to prioritize appropriately in a fast-paced environment.
