Logistics AssistantPosition Summary
The Logistics Assistant supports the day-to-day transportation operations of Watco Logistics. This position works closely with the Transportation Coordinator to help ensure shipments are properly tracked, drivers and carriers are contacted regularly, paperwork is maintained, and important information is communicated internally.
The Logistics Assistant serves as a backup to the Transportation Coordinator and helps maintain consistent communication and visibility on all active shipments.
Primary ResponsibilitiesTracking & Tracing
- Track and trace active shipments throughout the day.
- Monitor shipment progress and verify loads are moving according to schedule.
- Contact drivers and carrier dispatchers to obtain current locations and updated ETAs.
- Verify drivers are on schedule for pickup and delivery appointments.
- Follow up on loads where tracking information is missing or has not recently updated.
- Assist with ensuring required electronic tracking is active and functioning.
- Identify potential delays or service issues and immediately communicate them to the Transportation Coordinator.
Driver & Carrier Communication
- Make routine check calls to drivers and dispatchers.
- Confirm pickup and delivery status.
- Obtain updated ETAs when necessary.
- Relay appointment information, instructions, and operational updates.
- Document driver and carrier communications in the appropriate system.
- Escalate late trucks, missed appointments, tracking failures, or other issues to the Transportation Coordinator.
Transportation Coordinator Support
- Serve as backup support to the Transportation Coordinator.
- Assist with monitoring and managing active loads.
- Help maintain coverage of daily operational responsibilities when the Transportation Coordinator is unavailable or handling other priorities.
- Relay messages and important information between Transportation Coordinators, customer service, management, carriers, and other internal team members.
- Assist with routine follow-up necessary to keep shipments moving and issues from being overlooked.
Paperwork & Documentation
- Assist with collecting and organizing Bills of Lading, Proofs of Delivery, rate confirmations, receipts, and other shipment documentation.
- Upload and maintain paperwork in the transportation management system.
- Follow up with carriers and drivers for missing paperwork.
- Verify shipment notes and records are current and complete.
- Assist with paperwork related to accessorial charges, detention, lumper receipts, and other shipment-related expenses.
Internal Communication
- Relay messages and shipment updates internally in a timely and accurate manner.
- Communicate potential service failures or operational issues immediately.
- Ensure important information received from drivers or carriers reaches the appropriate team member.
- Maintain clear and detailed notes so that other team members can quickly understand the current status of a shipment.
Position Expectations
The Logistics Assistant is expected to be organized, responsive, proactive, and detail-oriented. This position requires consistent follow-up and communication throughout the day.
The primary objective of the role is to support the Transportation Coordinator and operations team by helping maintain visibility on every shipment, identifying potential problems early, keeping documentation organized, and ensuring important information is communicated quickly and accurately.
Qualifications
- Strong communication and organizational skills.
- Ability to manage multiple shipments and priorities simultaneously.
- Strong attention to detail and follow-through.
- Comfortable communicating with truck drivers, carrier dispatchers, and internal employees by phone, email, and messaging.
- Basic computer and data-entry skills.
- Ability to work in a fast-paced transportation and logistics environment.
- Transportation, freight brokerage, or logistics experience preferred but not required.
Pay: $18.00 - $21.00 per hour
