About the Position
We are seeking a professional, organized, and dependable Headquarters Receptionist & Insurance Coordinator to join our team. This position plays an important role in creating a welcoming and professional experience at our headquarters while also serving as the primary point of contact for our dental offices regarding patient insurance verification.
The ideal candidate is someone who is highly organized, communicates well, pays close attention to detail, and is comfortable working with multiple offices and team members. This person will oversee the day-to-day insurance verification process, help identify and correct issues, and provide support and guidance to our offices when insurance questions or concerns arise.

Key Responsibilities Headquarters Reception & Administrative Support
- Serve as the welcoming face of our headquarters and maintain a professional, friendly environment for employees, visitors, and vendors.
- Answer and direct incoming phone calls and messages.
- Greet and assist visitors and guests.
- Receive, sort, and distribute mail, packages, and other deliveries.
- Assist with general administrative duties and projects as needed.
- Help maintain an organized and professional reception area and headquarters environment.
- Communicate professionally with employees, vendors, and leadership.
Insurance Operations Oversight
- Oversee the work of the insurance verification team to help ensure patient insurance information is accurate and completed in a timely manner.
- Review insurance verification work and identify discrepancies, missing information, or potential errors.
- Make corrections when necessary and follow up with the appropriate team members.
- Serve as an escalation point for more complex or difficult insurance situations.
- Help ensure consistent insurance verification processes are being followed across all dental offices.
- Identify recurring issues and communicate opportunities for improvement to leadership.
- Assist with developing and maintaining efficient insurance-related processes and procedures.
- Monitor outstanding insurance-related issues and help ensure they are resolved appropriately and promptly.
Support for Dental Offices
- Serve as the primary headquarters point of contact for dental offices regarding patient insurance verification.
- Respond to questions from office teams and provide guidance when insurance issues arise.
- Help offices understand and resolve discrepancies related to patient eligibility, benefits, or insurance information.
- Communicate updates, corrections, and process changes to the appropriate office teams.
- Build strong working relationships with office managers, front-office teams, and the insurance verification staff.
- Help ensure communication between headquarters and individual offices is clear, timely, and consistent.
Qualifications
- Previous experience in a dental office, dental insurance, medical insurance, healthcare administration, or a similar environment preferred.
- Familiarity with dental insurance terminology, eligibility, benefits, and verification processes.
- Strong attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Professional, friendly, and confident demeanor.
- Strong organizational and time-management skills.
- Ability to prioritize multiple tasks and support multiple dental offices.
- Comfortable identifying problems and taking initiative to find solutions.
- Ability to work independently while also collaborating effectively with a team.
- Proficiency with computers, email, Microsoft Office, and other standard office software.
- Previous receptionist, front-office, insurance, or administrative experience is strongly preferred.

Pay: $18.00 - $20.00 per hour
