Position Overview
We’re seeking a Veterinary Receptionist (also known as Client Service Representative or Front Desk Assistant) to be the friendly and organized face of our clinic. This role is ideal for someone who loves working with people and animals, thrives in a busy environment, and takes pride in delivering excellent customer service.
Key Responsibilities
- Greet pet owners warmly and ensure a positive client experience from check-in to checkout
- Answer multi-line phones, schedule appointments, and respond to client questions in a timely and professional manner
- Maintain accurate and complete patient records, including medical history, rabies certificates, and go-home paperwork
- Process payments, issue receipts, and manage accounts receivable for individual and volume clients
- Communicate effectively with veterinarians, technicians, and support staff to coordinate patient care
- Maintain office supplies, organize client files, and assist with general administrative duties
- Train and support clinic volunteers and assist front office staff as needed
- Represent the clinic’s mission with compassion, professionalism, and a strong attention to detail
Qualifications & Skills
Required:
- Excellent communication and customer service skills, especially with pet owners under stress
- Ability to multitask, stay organized, and work efficiently in a busy veterinary clinic setting
- Basic understanding of veterinary terminology, vaccine protocols or willingness to learn
- Proficiency with computers and Microsoft Office (Mac and PC experience preferred)
- Ability to stand or sit for long periods and lift up to 50 lbs with assistance
Preferred:
- 1–2 years of experience as a veterinary receptionist, veterinary assistant, or animal shelter front desk associate
- Familiarity with veterinary software or practice management systems
- Professional, reliable, and compassionate demeanor
Work Schedule
- Full-time: 4- 10 hour days or 5- 8 hour days
- Occasional flexibility for special events or clinic needs
