Duties
- Receive incoming service requests via multi-line phone systems and internal communication channels, accurately logging details into transportation management systems such as Oracle Transportation Management or SyteLine.
- Schedule and dispatch HVAC technicians to job sites using vehicle dispatch software and GPS tools, ensuring optimal routing based on real-time traffic data and job priority.
- Coordinate with supply chain and logistics teams to manage freight, shipping & receiving, and inventory needs for parts and equipment.
- Monitor fleet management systems to track vehicle locations, maintenance schedules, and DOT (Department of Transportation) regulations compliance.
- Communicate effectively with technicians, customers, vendors, and internal departments to relay updates, confirm appointments, and resolve scheduling conflicts promptly.
- Maintain detailed records of dispatch activities, service logs, and customer interactions while performing data entry tasks with accuracy using systems like AS400 or Microsoft Office.
- Support transportation planning efforts by analyzing operational data to improve route efficiency and reduce downtime.
Skills
- Proficiency in transportation management systems such as Oracle Transportation Management or SyteLine.
- Strong knowledge of road transportation operations, fleet management, and vehicle dispatching procedures.
- Excellent communication skills for phone call management, multi-line phone systems, and customer service interactions.
- Familiarity with GPS technology, GIS (Geographic Information Systems), and route optimization tools for effective dispatching.
- Ability to handle freight logistics, shipping & receiving processes, and supply chain coordination efficiently.
- Demonstrated organizational skills with attention to detail in data entry, record keeping, and documentation tasks.
- Knowledge of DOT regulations governing vehicle operation and driver safety standards.
- Experience with transportation planning analysis skills to improve operational workflows.
- Competency in using Microsoft Office Suite (Word, Excel), Oracle Transportation Management, SyteLine ERP system, and vehicle dispatch software like Vehicle Dispatch Software or Fleet Management platforms.
