Position Overview
West Flooring & Design is seeking a detail-oriented and dependable Customer Collections & Accounts Payable Specialist to support our accounting operations. This role will primarily focus on handling monitoring customer accounts and collections activities, managing vendor payments while ensuring accurate and timely financial processing.
This position is part of the accounting department working closely with project management, sales teams to maintain accurate financial records, follow up on outstanding balances, and support daily accounting functions. The ideal candidate is highly organized, detail-driven, and comfortable working in a fast-paced environment.
Responsibilities
Collections & Accounts Receivable:
- Prepare weekly customer aging reports and monitor outstanding balances
- Contact customers regarding overdue invoices and payment status
- Follow up internally with sales and project teams on collection efforts
- Generate and distribute customer statements through Sage Intacct
- Maintain clear documentation of all collection communications
Accounts Payable:
- Process vendor invoices and ensure accuracy, proper coding, and timely entry into Sage Intacct
- Monitor invoice approvals and coordinate with internal teams to resolve discrepancies
- Prepare and assist with weekly check runs and vendor payments
- Maintain organized records of invoices, contracts, and supporting documentation
- Reconcile vendor statements and follow up on outstanding items
General Accounting Support:
- Prepare and send weekly AR/AP status reports
- Assist with account reconciliations and reporting as needed
- Complete bank and post office runs as needed
- Support additional accounting and administrative tasks as assigned
Qualifications
- Minimum 3 years of experience in Customer Collections and 2 years experience in Accounts Payable
- Strong understanding of accounting processes and financial workflows
- Proficiency in Microsoft Excel and Microsoft Office
- Experience with Sage Intacct or similar accounting software preferred
- Strong attention to detail and organizational skills
- Excellent communication and follow-up skills
- Ability to prioritize tasks and work independently
- Professional, reliable, and team-oriented attitude
Pay: $60,000.00 - $65,000.00 per year
