Job Summary
We are seeking a detail-oriented and organized Marketing Administrative Assistant to support our 401(k) advisory team on a part-time basis, working approximately 15-20 hours per week (hours determined by applicant). This role is ideal for someone with strong office management skills, excellent communication abilities, strong computer skills (Canva and MS), and proficiency in various administrative tools. The successful candidate will assist with daily office operations, coordinate marketing activities, and provide exceptional customer support to ensure smooth business functions. Bilingual skills and experience with office software are highly valued.
Responsibilities and Duties Include:
- Coordinate employee education meetings for plan participants and create flyers to promote meetings
- Track and organize educational events and meetings for clients and advisors
- Manage and update digital asset libraries, including templates, images, and marketing collateral
- Order education and enrollment materials for plan participant education meetings.
- Create invitations to webinars, manage LinkedIn posts, and send newsletters
- Manage all outgoing client, plan participant, Centers of Influence, and prospect communication (webinar invites, newsletters, market update videos, etc.) via the Marketing Advantage / FMG program.
- Assist the executive assistant in preparing client plan reviews and educational follow-up items after the reviews are conducted
- Assist advisor with marketing efforts & business development
- Monitor social media platforms and provide support for posting - LinkedIn
- Assist with data entry, filing, and organization of marketing materials and client information using various software
- Coordinate with vendors and external partners for marketing projects
The Ideal Candidate Will Have:
- Optimistic/cheerful/can-do attitude and ability to learn new things quickly
- Strong organizational skills - Ability to prioritize, solve problems, and complete multiple projects efficiently and on time
- Excellent computer skills, including strong knowledge of Canva, Adobe, MS Office, Excel, and Publisher
- Ability to adapt and learn new programs or systems with minimal assistance
- Experience with LinkedIn and social media
- Excellent people skills, strong email and writing skills, and strong phone skills
- Self-motivated and willing to learn and work in a team environment as well as independently – strong work ethic
- Strong written and verbal communication skills
- Demonstrated ability to handle confidential information discreetly and professionally
**Candidates must pass a fingerprint background check. The background check and clearance can take approximately 1-2 weeks once we make our decision on the hire.
