Event Volunteer Operations Coordinator

The position
We’re looking for an Event Volunteer Operations Coordinator to be responsible for the year-round engagement and coordination of Pelotonia’s Volunteers, who are crucial to our success and the smooth operation of all events. This person will also be responsible for assisting with the planning and execution of all operational aspects of Pelotonia’s annual Ride Weekend Gravel Day, as well as collaborating with team members and partners to plan and execute additional events throughout the year.
You will report to the Event Operations Director and be an integral part of the team in our relentless pursuit to raise funds for innovative cancer research.
Key responsibilities include the following, with other duties as assigned:
Volunteer Management (60%)
Execute and continually improve the communication engagement plan to involve Volunteers on a year-round basis through consistent messaging.
Serve as the staff point of contact to provide excellent customer service in response to all Volunteer-related questions and inquiries.
Utilize Salesforce (CRM) to upload, edit, and monitor all Volunteer shifts across Ride Weekend and Gravel Day.
Set up group Volunteer blocks for Corporate and Community Pelotons and continuously engage with appropriate Peloton leaders to monitor Volunteer registrations to these blocks, provide reporting tools, etc.
Assist in the recruitment, training, and management of 50+ Lead Volunteers who serve as primary members of the event operations team for Ride Weekend.
Establish and execute stewardship and recognition opportunities for all Volunteers.
Strategically recruit specialized Volunteers, including medical, mechanical, and SAG (support and gear) personnel.
Update instructional and reference materials, such as the Volunteer and Lead Volunteer Handbooks, Volunteer site guidelines, and Ride Weekend pocket guides, on an annual basis.
Manage and steward relationships with all partner bike shops, including securing Rider discounts and mechanical Volunteer support.
Lead the planning and execution of all Volunteer training and orientation sessions.
Ride Weekend Gravel Day Event Operations (30%)
Manage the communication plan to share Ride Weekend Gravel Day impact with all businesses, neighborhoods, and village/township/county leadership throughout our routes.
Plan and execute spirit stations, including entertainment and volunteer cheer groups, throughout routes for Ride Weekend and Gravel Day.
Assist with warehouse and inventory management.
Manage relationships with key in-kind vendors for Ride Weekend and Gravel Day supply donations.
Auxiliary Event Operations (10%)
Serve as event operations lead for key events throughout the year, as assigned.
Assist the Director – Event Operations on planning and execution for additional auxiliary events throughout the year, notably serving as secondary event operations contact for Pelotonia’s High Roller Evening of Appreciation and Survivor Celebration.

Pay range: $50,000 plus an annual bonus based on shared team metrics
