Position Summary
We are seeking a proactive, organized, and people-oriented Administrative Assistant & Resident Liaison to support both our resident engagement initiatives and our Administration & Recertifications teams.
This role combines direct interaction with residents and administrative office support. The ideal candidate enjoys helping people, has excellent organizational skills, and thrives in a collaborative office environment.
Although the position is based in Deerfield Beach, candidates must be available to travel to our Fort Lauderdale corporate office at least two times per week to support administrative operations and collaborate with other departments.
Resident Liaison Responsibilities
- Assist residents with downloading, registering, and navigating the iResident app.
- Help residents complete their annual recertifications through the app.
- Assist residents in submitting maintenance work orders and viewing upcoming inspection details.
- Answer basic questions regarding the iResident platform.
- Encourage residents to utilize the available services and features within the app.
- Build positive relationships with residents while providing exceptional customer service.
- Gather resident feedback, suggestions, and concerns to help improve the resident experience.
Administration & Recertifications ResponsibilitiesAdministrative Support
- Provide administrative support to the Administration and Recertifications teams.
- Assist the Executive Assistant with daily administrative tasks and office coordination.
- Monitor and manage shared email inboxes, ensuring timely responses.
- Forward emails and manage incoming correspondence.
- Prepare business correspondence, internal memos, and professional documents.
- Schedule meetings, take meeting notes, and coordinate follow-up actions.
- Request agenda items from departments as needed.
- Maintain organized digital and physical filing systems.
- Support customer, contractor, and partner inquiries by directing them to the appropriate department.
- Assist with onboarding activities by preparing accounts, documentation, and system access when assigned.
- Collaborate with multiple departments to ensure smooth communication and workflow.
Office Operations
- Print, organize, fold, and prepare letters for mailing.
- Scan and organize incoming documentation.
- Print inspection notifications, recertification notices, and inspection completion reports.
- Operate envelope folding and postage machines (training provided).
- Answer incoming office calls as needed.
- Maintain office inventory and ensure supplies remain organized and stocked.
- Help maintain a professional, organized, and efficient office environment.
- Manage conference room inventory and related documentation.
- Coordinate with external IT vendors regarding office equipment such as printers and office technology when needed.
Equipment & Logistics
- Send bi-weekly payment confirmations to contractors.
- Assist with managing inspectors' equipment.
- Prepare shipping and return labels.
- Track equipment shipments and returns.
- Coordinate equipment logistics with contractors and internal departments.
Qualifications
- Previous experience in administrative support, office administration, customer service, property management, or a similar role is preferred but not required.
- Friendly, professional, and customer-focused attitude.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Detail-oriented with the ability to manage multiple priorities.
- Comfortable using Microsoft Office, Google Workspace, and learning new software applications.
- Ability to work independently while collaborating with multiple departments.
- Reliable transportation and willingness to commute to both Deerfield Beach and Fort Lauderdale as required.
