Responsibilities
- Greet patients warmly, answer multi-line phone systems, and manage appointment scheduling with efficiency and professionalism
- Verify insurance coverage, perform insurance eligibility checks, and handle insurance verification processes using systems like open dental/ practice web
- Review patient medical records and documentation for accuracy while maintaining strict adherence to HIPAA confidentiality policies
- Assist in treatment planning by explaining procedures, financial options, and care plans clearly to patients
- Manage electronic health records (EHR) systems such as eClinicalWorks or Athenahealth for accurate documentation review and updates
- Coordinate with clinical staff to ensure timely patient flow and proper documentation of medical and dental terminology
- Perform medical billing tasks including CPT coding, ICD-10/ICD-9 coding, Medicare claims processing, and medical collection efforts
- Maintain organized filing systems for medical records and ensure compliance with health information management standards
- Support office management tasks such as data entry, typing reports, filing documents, and managing office supplies
- Demonstrate excellent phone etiquette while handling inquiries related to appointments, billing questions, or insurance coverage
Qualifications
- Proven experience in a dental or medical office setting with strong knowledge of dental terminology and clinical confidentiality policies
- Familiarity with EMR/EHR systems such as open dental practice web
- Solid understanding of dental insurance processes including verification, billing, CDT coding, ICD coding (ICD-10/ICD-9), Medicare claims, and care plan documentation
- Excellent customer service skills with the ability to communicate effectively with diverse patient populations; bilingual abilities are a plus
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel) and electronic health record management software
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining attention to detail
- Previous clinic or dental office experience is highly desirable; familiarity with hospital or healthcare settings is advantageous
- Exceptional organizational skills with experience in clerical support such as filing, data entry (including 10-key typing), and document review
- Knowledge of health information management standards along with phone communication expertise and professional office etiquette
