Birttani Display is a direct manufacturer and distributor based in California and New Jersey, serving the trade show industry, event planning, and marketing networks with portable display hardware and custom dye-sublimation fabric printing. We are in an active growth phase — we've recently launched a new vendor portal for graphic order processing, updated our website and workflows, and are continuing to expand into the printing side of the business. There is a lot in motion, and a lot still being refined. This role exists because there is more to manage than one person can handle alone.
Role Description
This is a full-time, on-site role working directly alongside our Operations Coordinator in Sayreville, NJ. You'll assist across purchasing, graphic order coordination, container management, trade show lead follow-up, and customer service coverage. Because our systems and processes are still being built out, this is not a role where every answer is already documented. You'll need to understand how things connect, recognize when something is missing, and fill in the gap — while following headquarter workflows consistently as the standard for how work gets done. Staying in the loop with headquarter updates, process changes, and team check-ins is part of the job.
Responsibilities
Graphic & Custom Order Coordination
- Assist with coordinating large-volume custom graphic print orders with our print partner, including submitting job details, tracking production status, following up on proofs, and flagging issues
- Support orders that involve complex fulfillment requirements — such as large quantities shipping to multiple destinations, or orders with special per-box handling instructions that must be followed precisely
- Maintain and distribute accurate shipping files to ensure the correct product reaches each destination
- Monitor order progress through NetSuite and the vendor portal, and keep relevant parties informed of status
Purchasing & Inventory Support
- Assist with preparing purchase orders with our overseas factory vendor based on direction from the Operations Manager
- Verify item receipts against actual costs at time of receipt — PO pricing may differ from the cost at delivery and must be corrected accurately in NetSuite before closing
- Help track inbound containers and coordinate receiving paperwork with freight forwarders and customs
- Support direct container orders for customers purchasing large volumes directly from the factory
Sales Lead Follow-Up
- Take over or initiate follow-up with trade show leads after shows — email outreach, reconnecting with prospects, and moving conversations forward
- Maintain organized records of lead contacts and follow-up activity in coordination with the Operations Manager
Customer Service & Office Operations
- Serve as backup support for the customer service team — handle customer inquiries, order status updates, and general questions
- Coordinate container unloading schedules with unloading crews
- Manage office supply inventory and reorder as needed
- Handle general administrative and operational paperwork as assigned
Qualifications
- Experience in operations, logistics, purchasing support, or a similar role where you managed multiple moving pieces at once
- Highly organized — this is not negotiable. You will be managing purchasing paperwork, multi-destination shipments, production timelines, and customer follow-ups simultaneously
- Comfortable working within a system that is still evolving — you can follow established processes precisely, and you can also recognize when a gap exists and figure out how to handle it
- Proficient in Excel — you'll work regularly with shipping and order files that must be accurate
- Experience with NetSuite or similar ERP/order management systems (NetSuite a strong plus)
- Comfortable communicating professionally with customers, vendors, and prospects via phone and email
- Detail-oriented, particularly with order documentation, shipping instructions, and cost verification — errors here create real downstream problems
- Able to take direction from headquarter workflows and apply them consistently, even as those workflows continue to be refined
- Physically able to work in a warehouse environment when needed
- Legally authorized to work in the United States
- Experience in the trade show, display, printing, or logistics industry is a plus
- Bilingual in Chinese is a plus
