This is an important position within our operation. You will help process customer orders, manage administrative workflow, communicate with customers and vendors, assist with accounting functions, and help keep everything moving from the initial order through final completion.
A FEW IMPORTANT QUESTIONS...Do you suffer from Telephonophobia?
Because the telephone is definitely not decoration in our office.
You will need to be comfortable speaking with customers, vendors, dealerships, municipalities, and coworkers.
We love our customers, and we expect them to receive professional, friendly, confident service every time they contact us.
What about Cyberphobia or “Email Anxiety”?
Then you may want to keep your current job.
Much of our customer contact, order processing, documentation, purchasing, contracting, and day-to-day business is conducted electronically.
Email, computers, online portals, electronic contracts, PDFs, spreadsheets, and business software are part of everyday life here.
We are looking for someone who embraces technology and is willing to learn new systems.
When something unfamiliar appears on your computer, we want your first thought to be:
“Let me figure this out.”
Not:
“I don't do computers.”
WHAT YOU'LL BE DOING
Your responsibilities may include:
- Processing customer orders
- Communicating with customers and vendors
- Managing email correspondence
- Reviewing and processing purchase orders
- Assisting with contracts and government/customer documentation
- Coordinating between sales, production, parts, and administration
- Maintaining accurate customer and order records
- Following orders from entry through completion
- Managing general office administration
- Assisting with Accounts Receivable
- Assisting with Accounts Payable
- Customer invoicing and payment follow-up
- Vendor invoice and statement review
- Keeping records, paperwork, and electronic files organized and current
Experience with Accounts Receivable and Accounts Payable would be very helpful and will give you an advantage.
DEALERSHIP OR AUTOMOTIVE EXPERIENCE?
Now you've really got our attention.
Previous experience in an:
- Automotive dealership
- Service department
- Fleet operation
- Parts department
- Vehicle upfitting company
- Automotive administrative office
- Municipal or government contracting environment
...will definitely give you an advantage.
If you already understand work orders, purchase orders, invoices, vehicle terminology, vendors, dealerships, customer orders, and the importance of getting the details right, you may be able to hit the ground running.

Think of This...
A man is stranded on the roof of his house during a terrible flood. The water keeps rising, and he prays:
“God, please save me.”
A neighbor comes by in a canoe and says, “Get in! I’ll take you to safety.”
The man says, “No, thank you. God will save me.”
The water rises higher.
A rescue boat comes by and the crew yells, “Jump in! We’ll get you out of here.”
The man says, “No, I have faith. God will save me.”
The water is now almost covering the roof.
