We are looking for a detail-oriented, self-driven professional to serve as the operational backbone of our office. This role blends hands-on accounting responsibilities such as accounts receivable, accounts payable, reconciliation, and month-end close with daily administrative support to keep our team running smoothly. RESPONSIBILITIES
ACCOUNTING
- Perform month-end closing and account reconciliation
- Investigate, correct, and adjust accounting discrepancies
- Prepare and send accurate client invoices with appropriate payment terms and due dates
- Receive, record, and apply incoming payments (checks, wire transfers, ACH, credit cards) to corresponding customer accounts
- Monitor accounts receivable for overdue balances; follow up with clients via email and phone to secure payment
- Manage outgoing accounts payable — maintain payment schedules and process vendor and supplier payments
- Audit vendor invoices against services ordered and amounts billed
ADMINISTRATIVE
- Provide daily front-office support: answer and transfer incoming calls, greet visitors, receive packages, scan and file documents
- Maintain a professional and organized office environment
- Track and manage license renewals, contract anniversaries, and key deadlines
- Organize and maintain corporate and legal documentation
- Assist in gathering information for internal and external meetings and presentations
- Coordinate travel arrangements and prepare itineraries as needed
- Provide general operational support to management
REQUIREMENTS
- Minimum 2 years of accrual-basis accounting experience, including accounts receivable, accounts payable, month-end closing, and bank reconciliation
- Proficiency with QuickBooks Online
- Proficiency with standard office software: MS Outlook, Word, Excel, Adobe PDF
- Strong written and verbal communication skills
- Exceptional attention to detail with excellent proofreading and editing ability
